Shoreside Wellness is a trusted wellness clinic in Mississauga offering acupuncture, massage therapy, chiropractic care, and physiotherapy services. We are dedicated to providing a warm, welcoming, and professional environment for our patients while supporting our team of practitioners.

We are currently seeking a

Front Desk

Receptionist

to join our team. This role is essential in ensuring smooth day-to-day clinic operations and delivering excellent patient experiences.

Responsibilities

:

Patient Interaction & Front Desk Duties



Greet patients on arrival and guide them to the appropriate rooms. Answer phones, return voicemails, and respond to emails. Book and confirm patient appointments. Send intake forms and paperwork to new clients; update patient information in the system. Complete transactions, issue receipts/invoices (print or email), and reconcile daily transactions. Create monthly or yearly statements for patients when required. Refer to waiting list for cancellations and add patients as needed. Monitor outstanding balances, update the money owing sheet, and follow up with patients. Follow up with one-time patients. Track new patient referrals, send referral thank-you letters, and update patient files.

Support for Practitioners



Remind practitioners of start times. Periodically check practitioner chart completion. Make copies of and scan the necessary paperwork for practitioners. Update/change practitioner schedules when required.

Administrative & Recordkeeping



Distribute incoming mail appropriately. Create chore charts for staff. Check and update inventory and supplies (lotions, paper towels, soap, etc.).

Clinic Preparation & Cleanliness



Open the clinic daily: turn on lights, music, and heating pads (in winter). Sanitize treatment rooms after each session: change sheets, wipe down surfaces. Perform laundry and folding duties. Keep reception area tidy and organized. Mop floors in winter to remove salt and ensure walkways are clear/salted for safety.

Qualifications



Previous experience in a receptionist, administrative, or customer service role (healthcare/clinic experience an asset). Strong organizational and multitasking skills with attention to detail. Excellent communication skills (in-person, phone, and email). Comfortable with technology and scheduling systems (experience with Jane App an asset). Reliable, punctual, and able to work independently as well as part of a team. Friendly, professional, and patient-focused.
