We are looking for a dynamic and personable individual to join our team as a Front Desk Receptionist.
General Purpose of Position:
The ideal candidate is dynamic, compassionate, and articulate, with the ability to multitask and manage the client's path to recovery from the first inquiry call to their full recovery and discharge. This role involves providing high-quality client care relations alongside reception and administration services in a professional, caring, and supportive manner, while maintaining the confidentiality of all information.
Key Responsibilities:
Greet and welcome patients to the clinic in a professional and friendly manner
Manage all incoming calls related to patient appointments for Naturopathic, Chiropractic, Physiotherapy, Acupuncture, and Registered Massage Therapy
Schedule patient appointments using scheduling systems like Jane
Handle incoming and outgoing calls, mails, emails, and faxes
Prepare and ensure all new patient packages are ready daily and include all necessary forms
Scan and upload completed patient packages and respective forms
Perform financial transactions, including debit, credit card, and cash handling
Charge appointments and submit claims to extended health care providers
Maintain cleanliness of the reception area and waiting room
Track metrics and clients' Plans of Care
Liaise compassionately with clients and their families
Communicate professionally with all the providers and clinic staff
Process payments, and handle faxing, scanning, and filing of documents
Responsible for maintaining the overall cleanliness and professional appearance of the clinic.
Perform any additional administrative tasks as directed by the manager, in accordance with clinic policies & procedures
Essential Requirements and Skills:
College or university degree is preferred
Experience using Jane app software to book appointments
Minimum 6 months experience working as Front desk Receptionist
Excellent interpersonal skills, including compassion and courtesy
Exceptional English communication skills, both verbal and written
Ability to work independently and as part of a team
Strong organizational and time management abilities
Proficiency in Windows and Microsoft Office programs
Understanding of medical terminology is preferred
Able to handle confidential information with discretion

Hours:
We are currently looking for someone who is interested in working part time hours (8-20 hours) and available to work on Mondays to Friday.
