We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency in office software, and the ability to manage multiple tasks efficiently. Experience in medical or dental office settings is a plus, but not mandatory. The successful applicant will contribute to maintaining a welcoming environment and ensuring smooth daily operations.
Responsibilities
Greet visitors and clients warmly, ensuring a positive first impression
Answer multi-line phone systems promptly and professionally, utilizing excellent phone etiquette
Manage appointment scheduling using Office experience and Google Workspace tools
Perform data entry accurately into systems such as QuickBooks and other databases
Handle clerical tasks including filing, photocopying, and organizing documents
Assist with administrative duties such as proofreading correspondence and managing calendars
Support bookkeeping activities related to billing and invoicing when necessary
Maintain a clean and organized front desk area to promote a professional environment
Provide customer support by addressing inquiries and directing calls or visitors appropriately
Collaborate with team members to ensure efficient office operations
Qualifications
Proven clerical or administrative experience, preferably in a medical or dental office setting
Strong computer skills with proficiency in Microsoft Office, Google Workspace, and data entry software
Familiarity with QuickBooks, bookkeeping, and front desk management systems is desirable
Excellent organizational skills with attention to detail in filing, proofreading, and document management
Exceptional customer service skills with the ability to handle multiple phone lines effectively
Ability to work independently while maintaining professionalism in a fast-paced environment
Strong typing skills and knowledge of office equipment such as multi-line phones and printers
Prior experience in medical or dental office environments is a plus but not required
Demonstrated ability to maintain confidentiality and adhere to privacy standards
