Mechanic shop front desk recepition position avaliable. Very busy shop and lots of opportunity. The person in this position is the first person our customers encounter and often the last before they leave. Having knowledge of cars/ automotive experience is not a necessity but would be a positive. There is a 2 week training process that will assist you in getting ready for the position.
Duties of this roll are as follows;
Fill out work orders for each client.
Offer coffee or water to clients.
Create customer files as new assignments are received and schedule estimate appointments.
Greet customers when they arrive, locate their file, assign a Tech, and offer refreshments.
Follow up with missed calls and repair appointments.
Assign vehicle numbers, notate folders, and inform Techs of vehicle arrivals.
Print sign-in/sign-out templates each week, validate staff sign-in and sign-out times.
Responsible for part/core returns and ensuring that credit is received.
Answer phones, take messages and transfer phone calls.
Maintain printer to ensure sufficient paper supply and print cartridges are installed and in inventory.
Maintain cleanliness of office, customer areas, refrigerator, coffee machine and bathrooms.
Assist with visitor shuttle service and clerical errands, as necessary.
Update and maintain business social media accounts.
Sort and distribute incoming mail.
Cash out clients and make invoices (will provide training).
Daily Emails.
Highly Organized & Detail Oriented.
Business casual dress code.
Demonstrate planning and coordinating skills.
Excellent telephone etiquette and communication skills.
Ability to multi-task and work well in a busy environment.
Must be able to sit for long periods of time and must be able to walk, stand, bend, stoop, push/pull, kneel, crouch, and reach frequently.
Demonstrate the ability to deal with customers in a courteous and effective manner regardless of their age, race, color, sex, religion, national origin, handicap, dress, or demeanor while providing exceptional customer service.
Greets customers and determines the nature of their visit.
Notifies the appropriate person that a customer is waiting and introduces the customer.
Answers incoming phone calls.
Books appointments or takes a thorough message.
Communicates with callers, visitors and suppliers in a professional, friendly and efficient manner.
Obtains basic demographic information about each customer with a computer system, a log sheet or other method established by the owner.
Enters data into lankar system (training provided)
Communicates messages to the appropriate parties in a timely manner.
Types memos, correspondence, reports and other documents.
Assists in searving customers during the morning and evening service rush whenever possible.
Assists with clerical duties as requested.
Maintains a professional appearance.
Minimum education: high school grad.
Other tasks as assigned.
