We are seeking a professional and organized Front Desk Receptionist to join our team. Duties
Greet visitors and clients warmly, ensuring a positive first impression
Manage multi-line phone systems, directing calls appropriately and maintaining professional phone etiquette
Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Handle incoming correspondence, emails, and inquiries efficiently
Maintain office supplies inventory and order necessary materials
Assist with bookkeeping tasks using QuickBooks or similar software when needed
Support office management activities including record keeping, document preparation, and administrative support for staff
Provide customer support by addressing inquiries promptly and professionally
Perform clerical duties such as typing, photocopying, and organizing files
Qualifications
Proven experience in office management or administrative roles; prior receptionist experience preferred
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
Familiarity with QuickBooks or bookkeeping software is advantageous
Excellent organizational skills with the ability to prioritize tasks effectively
Exceptional phone etiquette and customer service skills; bilingual abilities are a plus
Attention to detail in proofreading and document management
Ability to handle multiple responsibilities simultaneously in a professional manner
Previous experience in medical or dental reception is beneficial but not required
Personal assistant or calendar management experience is desirable
Strong time management skills with the ability to work independently and as part of a team
