Responsibilities



Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel with professionalism and courtesy. Handle all front desk duties including scheduling appointments, maintaining calendars, and managing visitor sign-in procedures. Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other office management software. Maintain organized filing systems, both digital and physical, to ensure quick retrieval of documents and records. Support office management activities such as ordering supplies, proofreading correspondence, and managing incoming/outgoing mail. Provide exceptional customer support by addressing inquiries promptly and professionally via phone or in person. Assist with basic bookkeeping functions using QuickBooks or similar accounting tools when necessary. Manage appointment scheduling for medical or dental offices if applicable, including calendar management for practitioners. Conduct clerical tasks such as proofreading documents, data entry, and maintaining accurate records of office activities. Support administrative functions like proofreading correspondence, managing time-sensitive tasks, and coordinating meetings or events. Uphold excellent phone etiquette at all times while handling inquiries with patience and clarity. Collaborate with team members to ensure smooth office operations and contribute to a positive work environment.

Qualifications



Proven experience in an office environment with strong clerical skills; previous reception or administrative experience is highly preferred. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and basic computer literacy skills. Experience with multi-line phone systems and professional phone etiquette. Bilingual abilities are a plus to effectively serve diverse clientele. Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting. Excellent communication skills--both verbal and written--with a friendly demeanor. Ability to perform data entry accurately with good typing speed; attention to detail is essential. Familiarity with QuickBooks or bookkeeping software is advantageous but not required. Knowledge of office management procedures including filing systems, proofreading documents, and calendar management. Personal assistant experience or medical/dental receptionist background is beneficial for specialized roles within healthcare settings.
