Position Overview:



As the Front Desk Administrator, you will be the central hub of our office, ensuring smooth administrative flow and providing exceptional support to our teams. This role is crucial in managing communications, coordinating key administrative tasks, and handling essential financial support duties. We are looking for a detail-oriented multitasker who thrives in a fast-paced environment and takes pride in maintaining organizational efficiency.


Key Responsibilities:




Front Office & Communications:

+ Serve as the first point of contact, greeting visitors, clients, and vendors professionally and warmly.
+ Manage the main phone line: answer, screen, and forward calls; take detailed messages.
+ Handle the company's general email inbox: sort, distribute, and respond to inquiries in a timely manner.

Administrative Coordination:

+ Provide general administrative support to the management and project teams (scheduling, filing, photocopying, etc.).
+ Manage the company fleet registration, insurance documentation, and maintenance scheduling.
+ Maintain office supplies inventory and place orders as needed. Ensure common areas are tidy and presentable.

Financial Administrative Support:

+ Perform basic Accounts Payable (AP) tasks: receive, sort, and verify invoices for accuracy and approval.
+ Process company credit card payments and maintain accurate logs and reconciliation support.
+ Assist with basic data entry and documentation management related to finance.

Systems & Software:

+ Utilize

QuickBooks Online (QBO)

for basic invoice tracking and payment support.
+ Use

RAKEN

or similar construction management software for daily reporting, timekeeping support, or document management as required.
+ Proficiently use the Microsoft Office Suite (Outlook, Word, Excel).

Qualifications & Requirements:




Experience & Skills:

+ Minimum of 1-2 years of experience in a front desk, administrative, or office coordination role.
+

Experience in the construction industry or a related field is a strong asset.


+ Proven ability to handle multiple tasks simultaneously (multitask) and prioritize effectively in a dynamic environment.
+ Excellent verbal and written communication skills in English.
+ Strong sense of responsibility, reliability, and a keen eye for detail.

Technical Proficiency (Required):

+

Working knowledge of QuickBooks Online (QBO) is essential.


+

Familiarity with RAKEN or similar construction project management software is required.


+ Proficient in Microsoft Office (Outlook, Word, Excel).
