Job Description


The Opportunity: The Front Desk Administrator will support the Brandon operations. The Administrator will greet and screen office and plant visitors, provide administrative support to office staff, and maintain and organize all office equipment and supplies.

Snapshot of a Day-in-the-Life:

  • Efficiently manage all mainline incoming calls; including answering calls and forwarding messages on a daily basis to the appropriate individuals/departments in a courteous, helpful and professional manner.
  • Greet and screen office visitors; call employees and advise of guests or special deliveries.
  • Act as a key liaison with courier services; including organization and sorting of deliveries in the mailroom (both internal and external), bill of ladings, courier mail, courier supplies, and bills for payment.
  • Train employees for relief on reception desk and vacation coverage.
  • Proactively create and update phone lists for Brandon operations. Including being main contact for all Brandon plant cell phones, maintaining accurate phone assignments and bills.
  • Effectively maintain office supplies; place and receive all orders, track inventory , and ensure delivery throughout office.
  • Administrative support to all office staff.
  • Provide overhead management support to the Finance Manager as well as other Managers as required.
  • Assist in the annual overhead budgeting process for office management overheads.
  • Process and verify all Cafeteria deposits.
  • Deposits taken to the bank on a weekly basis
  • Maintain the meeting room & company vehicle calendars to ensure all booking requests are handled quickly and efficiently.
  • Responsible for care and upkeep of maintenance schedule of the company vehicle
  • Responsible for the maintenance and organization of the mailroom.
  • Special Project and other duties as requested
  • Critical weekly and monthly deadlines are met and provide accurate and timely reporting
  • Arrangements are completed in advance of prearranged tours and guest visits
  • Support Plant Continuous Improvement projects and achievement plant targets
  • Overhead management support provided to Assigned Budget Manager
  • Provide Administrative Support to Plant Manager

  • Experience in a Front Desk Position is an asset
  • Proficiency with MS Office and SAP is an asset
  • The ability to work cross-functionally
  • Excellent interpersonal and communication skills
  • Strong leadership and team building skills
  • Valid Manitoba drivers license
