Front Desk / Administrative Assistant
to join our growing team.
As the first impression of our clinic, you'll play a vital role in creating a welcoming, professional, and seamless experience for every patient who visits or contacts us. This position is perfect for someone who thrives in a fast-paced, patient-centered environment and enjoys balancing client service with administrative responsibilities.
Key Responsibilities:
Front Desk & Client Experience
Serve as the first point of contact for patients by phone, email, and in person
Answer and direct incoming calls, manage voicemails, and ensure timely follow-up
Schedule consultations and manage provider calendars efficiently
Deliver exceptional service by addressing questions and concerns with empathy and clarity
Greet and check in patients, ensuring a warm and professional experience from start to finish
Track patient leads and follow up strategically to convert inquiries into bookings
Maintain accurate records of patient interactions and appointment statuses
Assist with EMR/CRM data entry, scanning, and file management
Collaborate with the medical aesthetics and clinical teams to ensure a seamless patient journey
What We're Looking For:
Minimum 2-3 years of experience in customer service or administrative support (preferably in a medical, aesthetics, or spa setting)
Excellent written and verbal communication skills
High level of professionalism, discretion, and emotional intelligence
Strong attention to detail and time management skills
Comfortable with scheduling platforms, EMRs, and Microsoft Office
A polished, proactive, and welcoming approach to client service
