Position overview




The FRESH Start Program provides clients with access to essential services and resources through scheduled appointments and strong partnerships. This role ensures a welcoming and organized environment by managing appointments, maintaining program spaces, and supporting both clients and onsite partners throughout their visits. Responsibilities include, but are not limited to, accurate documentation of client experiences, upkeep of training materials and schedules, program development, and troubleshooting problems as needed. By combining administrative excellence with compassionate client care, this position helps deliver a dignified, efficient, and impactful program experience.

Key responsibilities



Schedule, rebook, and manage cancellations for all FRESH Start Program appointments. Ensure a positive and welcoming experience for all clients by maintaining the space, greeting upon arrival, engaging in conversation, guiding to their appointment, and following up with them post-appointment. Keep FRESH Start Program areas neat, tidy, functional, and fully stocked. Current areas included are FRESH Start Program partner offices, reception, and waiting room. Assist with IT issues relating to FRESH Start Program by independently troubleshooting or seeking assistance from the IT department. Record all client experiences, participation, appointment results, and partner notes on the varying platforms, ensuring all documentation is accurate, up-to-date, and available to reference at all times. Maintain all FRESH Start Program training materials, onboarding resources, qualification binders, schedules, calendars and reports. Liaison with the Distribution functional area to ensure that the registration role is updated on all changes, partners, and qualifications as needed. Support partners during appointments, check in daily with onsite staff, respond to inquiries promptly, be available to support while partners are onsite, and ensure they feel welcome and safe. Assist with the research and development of the program as needed. Complete other duties as assigned by the Distribution Assistant Manager and/or the FRESH Start Program Lead.

Ability to work with sensitivity and without discrimination towards people of diverse cultures, races/ethnicity, socio-economic positions, ages, religions, genders, physical/mental health challenges/disabilities, and sexual orientations. Kind, welcoming, and helpful in your approach to dealing with people and contentious situations. Exceptional attention to detail. Aptitude to learn and willingness to remain teachable. Flexibility to work at all our locations in Greater Vancouver, and to work varying hours throughout the work week, with proper notice. A team player who is willing to go above and beyond to assist others, while also demonstrating the ability to work independently. Effective interpersonal communication skills (written and verbal), including active listening skills. Excellence in organizational and administrative tasks. Lead by example, coach with patience, and model positive behaviour.

Qualifications and experience



Verbal and written proficiency in other languages is a strong asset. Training or experience in de-escalation and conflict resolution is an asset. Work experience in reception and administrative roles is an asset. Proficiency with Microsoft Office Suite and similar programs. Ability to learn and use in-house systems relating to the role. Public speaking experience and comfortable speaking in front of small groups.

Physical Requirements



Exposure to typical warehouse conditions, including operational noise, fast-paced activities, and functional processes. The ability to walk and sit throughout the shift. The ability to ascend and descend staircases throughout the shift.
