JOB SUMMARY

French education and teacher education programs in the UBC Faculty of Education are housed within the Department of Language and Literacy Education (LLED). Programs are offered in three main areas in collaboration with other units and offices in the Faculty: An 11-month Bachelor of Education program offered through the Teacher Education Office with a French specialization at both the elementary and secondary levels with a projected enrollment of up to 80 students per year; a Master\xe2\x80\x99s in Modern Language Education offered through the office of Professional Development and Community Engagement (PDCE) with a projected enrollment of 20 per cohort, and Master of Arts and Ph.D. degrees in French education offered by LLED. In addition to these degree-granting programs, LLED supports the following co-curricular credit and non-credit courses and institutes for professional development purposes to pre-service and in-service teachers: Institut de Fran\xc3\xa7ais in Quebec, S\xc3\xa9jour UBC (an intensive workshop series for French pre-service teachers); S\xc3\xa9jour Cheakamus; French Oral Language Support for Pre-service teachers; Gramligne: Learning and Teaching Communicative Grammar in a second language.

There have been many challenges to recruit and retain students in French education programs in BC, this position is fully funded by the BC Ministry of Advanced Education, Skills and Training to support the teaching, learning, and professional development of Canada\xe2\x80\x99s other official language \xe2\x80\x93 French \xe2\x80\x93 in an institutionally Anglo-dominant context, while respecting B.C.\xe2\x80\x99s multilingual and multicultural diversity.

The French Program Student Support, TEO, is the key point of contact for current and prospective pre-service teachers in French Programs in the Bachelor of Education (BEd) program. The incumbent is responsible for creating, coordinating and implementing all student marketing and recruitment initiatives for the BEd French Programs, evaluating and analyzing the effectiveness of student recruitment activities and recommending strategies for improvement. This position is responsible for coordinates the student advising functions in the French Programs in TEO and supports French program studentin the areas of admission, educational planning, and course advising, and, in consultation with the French Program Manager, administers the Ministry funding for the French Programs. The incumbent must be fully bilingual in both French and English.

ORGANIZATIONAL STATUS

Reports to the French Program Manager in LLED, with a dotted line to the Director of the Teacher Education Office (TEO). Works closely with the French Programs Coordinator (who is a tenure stream faculty member in LLED providing academic oversight of the French Programs in the Faculty of Education), and on a regular basis with the Manager, Admissions and Recruitment, in TEO. Interacts frequently with staff and faculty in LLED and the TEO and regularly with the Department Head and the Associate Dean.

WORK PERFORMED

Recruitment, Marketing/Promotion, and Communication

Creates, coordinates and implements the recruitment, marketing and promotional activities for BEd French programs, including:

  • Develops and implements multi-media marketing campaigns, using on-campus resources, such as UBC Studios;
  • Enhances the French BEd programs\xe2\x80\x99 visibility and reputation through various channels including attending education fairs, and developing an on-line/social media recruitment campaign in French to promote opportunities in French teacher education at UBC Vancouver campus and at the West Kootenay Teacher Education Program in Nelson (WKTEP) to increase the number of teacher candidates with French language concentration.
  • Coordinates outreach to high schools (with senior French Immersion) grades 11 and 12 and to other post-secondary institutions in BC and other provinces to promote teaching French as a career pathway.
  • Develops promotional materials in French (brochures, ads, presentations) in collaboration with TEO
  • Organizes and presents French Program information sessions to on-campus, off-campus, and virtual audiences for the recruitment of prospective pre-service teachers to the BEd program
  • Evaluates and analyzes the effectiveness of student recruitment activities and recommends strategies for future improvement
  • Updates the French Options page of the TEO website
  • Communicates regularly with the French cohort(s) in the BEd program to encourage participation in UBC French co-curricular activities and community French cultural events
  • Maintains active connections with the French education community
  • Maintains appropriate archiving of resources
Student Management and Admissions Support
  • Advises current students on enrolment, transition of records, curriculum, timetables, financial support opportunities, and interpreting UBC and Program policies and procedures;
  • Identifies students in crisis (personal or academic), provides advice on academic options, their rights and responsibilities, and University appeals processes; connects them with university support resources (e.g. Student Health Services, Aboriginal Student Center, Access and Diversity, Financial Aid Office), as needed
  • Coordinates the operation of student advising functions in TEO for the French programs;
  • Acts as a key point of contact for all prospective and current students of the French Programs. Responds to student inquiriesAdvises students about admission, program requirements and other program related information, including all correspondence with Francophone students and requests sent to the French.educ mailbox;
  • Advises prospective students on BEd admission and program requirements (DELF/DALF requirements/exam dates, courses, experience, etc.).
  • Participates in the assessmentAssesses of applications for the French Programs within BEd and provides advice to the TEO admissions team on applicants\xe2\x80\x99 oral language capability where needed (e.g. applicant who has done partial schooling in French);
  • Advises current students on enrolment, transition of records, curriculum, timetables, disseminating financial support opportunities, and interpreting UBC and Program policies and procedures;
  • Identifies students in crisis (personal or academic), provides advice on academic options, their rights and responsibilities, and University appeals processes; connects them with university support resources (e.g. Student Health Services, Aboriginal Student Center, Access and Diversity, Financial Aid Office), as needed;
  • Evaluates enrolments and program capacity to recommend the scheduling or cancelation of courses;
  • Verifies progress of degree requirements; adjudicates student transcripts and applications; and assesses eligibility for financial awards;
  • Organizes group conference registration and bulk invoicing for French teacher candidates to attend BCATML and APPIPC
  • Coordinates and implements French cohort orientation to promote French language support programs and disseminate information about government bursary
Administration of French Federal Funding including:
  • Bursary for French Teachers in Training:
  • Determines and implements the best ways (via TEO/Department websites, mailing lists and in-person) to communicate the funding information to students to invite applications
  • Determines eligibility based on government criteria, i.e. calculating the percentage of courses where instruction is in French.
  • Keeps track of applications and award decisions based on enrolment numbers and students\' program
  • Provides information about students\xe2\x80\x99 program choices and enrolment numbers to TEO and to the Faculty of Education Finance Office who submits the award list for payment
  • Responds to issues and inquiries as needed
  • Post-Secondary Institution Grant for French within Faculty of Education
  • calculates enrolment numbers in the Faculty of Education French courses to obtain Ministry funding for LLED, based on students\xe2\x80\x99 contact-hours in Pre-service French courses
  • liaises with Faculty of Arts to obtain French course student enrolment numbers
Special Initiatives
  • Assists the French Program Manager in planning, organizing and delivery of co-curricular events such as S\xc3\xa9jour UBC, an intensive workshop series for French Teacher Candidates to improve their French communication skills;
  • Works with the French Program Manager to identify opportunities to increase student funding and awards.
  • Other special projects as assigned by the French Program Manager or the Director of TEO.
CONSEQUENCE OF ERROR

Must respond to faculty/department requests in a timely and professional manner. Must exercise a high level of professionalism and judgment when dealing with various units and departments, as well as with non-UBC colleagues and members of the community. This position will work with the French Programs Coordinator in various aspects of resource, recruitment and program development. Failure to follow best practices and exercise sound judgement could result in significant resource and reputation costs to the Faculty of Education and UBC.

Works independently under the general direction of the French Program Manager and the Director of the TEO.

May supervise student employees as needed.

QUALIFICATIONS

Undergraduate degree in a relevant discipline.

Candidate must be fully bilingual in French and English. Degree in Education, Communications, French or related discipline preferred. Minimum of one to two years of related experience, or an equivalent combination of education and experience.

Knowledge of UBC database programs such as Student Information Services Centre (SISC) and Faculty Services Centre (FSC) required.

Demonstrated ability to tailor content to different audiences and through different communication channels (print, online, social media). Effective project management abilities. Effective oral and written communication in French and English as well as written and spoken fluency in professional French and English required. Interpersonal, planning, organizational, and problem-solving skills. Ability to work both independently and within a team environment. Ability to prioritize and work effectively under pressure to meet multiple deadlines. Ability to maintain accuracy and high attention to detail. Ability to think strategically and exercise diplomacy, tact, and discretion. Proficiency in Excel, Word, and Outlook. Experience in community relations, public relations, recruitment or sales preferred. Knowledge of University policies and procedures is considered an asset.
