Job Summary:
Reporting to the Associate Dean, Academic, the Program Assistant, Student Support will provide administrative support and contribute to strategies and processes that will further develop the Engineering Co-op and Internship Office.

Acting as the primary liaison with the Engineering Academic Advising department, the Program Assistant will also advise and direct students of all program matters pertaining to the engineering co-op and internship program. Responsibilities/accountabilities:

  • Serve as the first point of contact for students, faculty, staff, industry, community and other stakeholder inquiries to the Engineering Co-op and Internship Office (ECIO), providing information about relevant programs and services offered by the ECIO, events, policies and procedures and other inquiries as required.
  • Perform administrative duties such as record keeping, report generation, e-mail monitoring, and other duties as assigned.
  • Advise students on engineering related job postings, competitions and employer information sessions.
  • Support the Co-op and Internship Officer in event planning and execution on all related success workshops and sessions, recruitment events, open houses and other Faculty events in the promotion of the engineering co-op and internship programs.
  • Coordinate classroom visits by Co-op and Internship Officer with Faculty to ensure all engineering students are reached to promote program at key points during the academic year.
  • Assist with coordinating and planning student/employer visits.
  • Coordinate with the Dean\xe2\x80\x99s Office in content posting on social media platforms and Faculty website.
  • Monitor student program achievements and recommend success stories for promotion of the co-op program.
  • Facilitate submission of all work reports with faculty to ensure timelines are adhered to, liaise with faculty members and employment partners to ensure final evaluations and submission of final grades are completed as required.
  • Coordinate with the Career Center to ensure all student and employment data relevant to the engineering co-op and internship programs are accurate and current.
  • Track final evaluations and work term report submissions and follow up with students as required.
  • Assist the Co-op and Internship Officer with employer customer service in the recruitment and coordination of co-op placements.
  • Inform the Co-op and Internship Officer of any problems or concerns expressed by students or employers that may have a negative impact on the quality of the service, making suggestions as appropriate and assisting to remedy the situation.
  • Act as primary liaison between the ECIO and the Engineering Academic Advising Department, providing administrative support pertaining to students within the co-op and internship program.
  • Provide guidance to students on eligibility criteria on the co-op and internship program.
  • Confirm program eligibility of students.
Required Skills:
  • A high proficiency in MS-Word, MS-Outlook, MS-Excel and MS-PowerPoint.
  • Excellent planning and organization skills in overseeing event planning and execution.
  • Expert knowledge and understanding of social media platforms.
  • Strong content creation skills utilizing images, video, and text for social media.
  • Proven excellent writing, editing and proofreading skills for content in a range of styles.
  • Attention to detail, confidentiality, and the ability to manage multiple demands.
  • Ability to act independently with defined objectives, under minimal supervision.
  • Excellent communication and interpersonal skills with a demonstrated ability to handle faculty, staff and students with tact and diplomacy.
Required Education:
  • Completion of post-secondary education or equivalent of education and experience.
* Verification of Academic credentials may be required Required Experience:
  • One to three years related experience.
  • Experience in a post-secondary environment would be an asset.
