Job Description

Fraser Lake Camp (FLC), founded in 1955, is an overnight camp located near Bancroft, ON (156 Whytes Road, RR#4 Carlo Mayo, Ont.), on 273 acres of woodlot and waterfront property. It provides classic camp activities in a supportive, and welcoming community environment, for a wide variety of children and youth, from diverse socio-economic and cultural backgrounds.

Organizational details:

Willowgrove (a not-for-profit Registered Charity) is based in Stouffville, ON, and operates two recreational camp programs from two separate properties: Willowgrove Day Camp (WDC - Stouffville Ont) and Fraser Lake Camp (FLC - Bancroft Ont.).

The Fraser Lake Camp Director operates all aspects of the summer camp program in accordance with current standards, overseeing the general programming and operations of Fraser Lake Camp's overnight camp, as well as facility rentals, within the guidelines of Willowgrove's mission statement, its policies and procedures and the Ontario Camping Association accreditation guidelines. During off season periods, the Director works at the McCowan Rd. Willowgrove Head Office in Stouffville, Ont

Full time equivalency:

0.8 FTE (Allocation: 100% FLC)

Executive Director

Subordinates:

Assistant Directors/Managers, seasonal staff and volunteers.

Responsibilities and Oversight (not an all-inclusive list)



Operations:



? Live on site in Director's Cabin (3 bedrooms, living room, washroom and kitchen - shared with visiting guests i.e. Executive Director, Board Directors) from spring opening until fall closure (With flexibility)

? Working with the Assistant Director and Managers and orders camp merchandise, seasonal program supplies; keeps in touch with suppliers such as food services and busing to ensure quality service and competitive pricing as authorized by the Executive Director

? Redevelop camp programs and schedule and organizes May Long Work Weekend with FLC General Manager, Assistant Director and the Executive Director

? Work with facility teams and the FLC Property Manager to open and close camp, oversee program installations, set-up, closures, and clean-up

? Operates all aspects of the summer camp programs and

? Assists the Executive Director with the development and implementation of budgets and

tracking procedures and financial reports as needed in a timely manner in order to complete

payroll, submit receipts and invoices, and finalize expense reports in conjunction with the

Executive Director

? Oversees Ontario Camps Association inspections and accreditations

? Working with the FLC General Manager, oversees camper registrations

Communications and Marketing:



? Manages day to day campers, parents, staff, community members and customer communications, and inquiries in a timely manner

? Manages the camper database with the FLC General Manager

? Regularly evaluate the camp program using a variety of measurable methods

? Work with the Executive Director to schedule events throughout the year for camper retention and fundraising purposes

Program and Professional Development:



? Is responsible for planning, recruiting/hiring, supervising and supporting a full team of staff

? Oversees staff training, including:

The management of seasonal Volunteers as needed The planning and running of Orientation Week and the operation of Leadership Training week
? Supports Social Media Supervisor with maintaining an active online presence on social media

? Supports the FLC General Manager with maintaining an up-to-date website

? Understands, complies with, and promotes the Mission Statement of Willowgrove and ensure that the Willowgrove vision statement is demonstrated through its programs

? Attends Willowgrove Leadership meetings, as directed

? Performs other duties as assigned by the Executive Director to assist with the overall operation of Willowgrove

Staffing:



? Supports the Assistant Director with collecting up-to-date trainings (belay, driver attestation, CPR, Wilderness First Aid, NLS), paperwork (TD1, vulnerable sector/background checks, contracts and policies, health information) for staff and volunteers

? Ensures a regular camp presence, prioritizing face-to-face relationship-building with staff

? Provides staff evaluations

? Operates and staffs' rental programs on site, working with FLC General Manager and Assistant Director

? Builds and manages volunteerism and alumni at Fraser Lake Camp in concert with the Executive

Director

Proficiency in English

A Police Clearance / Vulnerability is required for the position

Probational Period

: a period of 3 months upon commencement of employment

Compensation and Benefits:

This is an 80% FTE with varying work hours and weeks throughout the year; emphasis is on the summer months of May through mid September with a requirement to be on-site at Fraser Lake Camp at these times. A salary range of 1.0% FTE of $ 46,000 to 49,000 (depending on experience) together company group health benefits, and participation in the Willowgrove Registered Retirement Savings Plan following the successful completion of probation
