Summary:
The Foundry Human Resources Coordinator will play a key role in ongoing support for the well-being of all employees within the Foundry Program. We are looking for someone with a passion for working across all Human Resources areas (HR Projects, recruitment, onboarding, policy planning, wellness, etc.). In addition, you will support with ensuring the efficiency and accuracy of all related administrative tasks, systems, and HR communication within Foundry Central Office (FCO). This position will work in close collaboration with Senior Leads/Managers and staff within FCO, Providence Health Care (PHC), and PHSA Support Services. Reporting the Human Resources Partner, Foundry, the Foundry Human Resources (HR) Program Support Coordinator contributes to the development, maintenance and advancement of various projects and human resources support activities in collaboration with the Human Resources Partner and other Foundry program staff. This requires participation in the planning and execution of both the strategic and operational components of the Foundry Human Resources Program in order to fulfill the needs of the program. Duties performed by this position include: staff engagement and communication, coordination, monitoring and delivery of recruitment, on-boarding and human resources related transactional activities; project coordination, administrative, budget, data entry and HR reporting and evaluation support. The position liaises regularly with PHC Human Resources staff and PHSA Support Services (ERB & Payroll) to ensure consistency and alignment of practices, exchange information and to maintain consistency with wider human resources initiatives and activities. Qualifications / Skills and Education:
Education, Training and Experience
A level of education, training, and experience equivalent to a Bachelor\xe2\x80\x99s degree in business administration, human resources, project management or a related field plus three (3) to five (5) years recent related experience, or an equivalent combination of education, training and experience. Additional education, training and/or experience in human resources, communications, and project management is an asset.

  • Ability to implement, and demonstrated knowledge of human resources practices, project management, process coordination, and quality improvement skills.
  • Ability to conduct detailed research (such as literature and best practice initiatives) and to analyze findings.

  • Ability to effectively use a variety of computerized software, databases and systems (such as Microsoft Office 2000 (Word, Excel, PowerPoint, Access and Internet Explorer.)
  • Knowledge of Healthcare HRIS (e.g., PeopleSoft, HR Connect, ESP).
  • Physical ability to carry out the duties of the position.

Duties and Responsibilities:
  • Provides HR operational and administrative support to the program leaders in the development and operational implementation of assigned projects, activities and initiatives. Acts as a resource to the Foundry program staff, including developing program-specific actions, related documents, providing support, monitoring and coordinating deliverables and maintaining timelines.
  • Liaises and engages with staff and partners and serves as a liaison to ensure HR project components, activities are completed, reported and evaluated in order to meet commitments. Closely monitors and tracks program progress toward program deliverables, identifying barriers to implementation, communicating divergence and works with program leaders to ensure alternative actions/plans are developed, approved and implemented. Provides clarification, knowledge, problem-solving and documentation in order to ensure the HR program projects and priorities are completed on time and/or on budget.
  • Monitors and maintains apprised of the status of Foundry recruitment activities. Assists Program Leaders with navigating the recruitment and hiring process which may include assisting with postings, position control, candidate screening and reference checks, interview scheduling, preparation and candidate follow up and onboarding activities. Liaises regularly with PHC HR Analysts and Recruitment Advisors to support an efficient and seamless delivery of service.
  • Provides support to Foundry Program Leaders on matters relating to employee staff such as scheduling, timekeeping, leaves and terminations. Follows up on employee pay, record and payroll inquiries with Employee Records & Benefits, Payroll, and Compensation & Classification as required. Clarifies and provides information to Leaders and/or staff members. Gathers and compiles required information to respond to related requests.
  • Collaborates with the Human Resources Partner, Foundry and staff as well as external partners as required to plan, initiate, coordinate, and evaluate new programs and projects, ensuring strategies and arrangements are in place to maximize the efficiency of HR Support.
  • Liaises with Human Resources Partner, Foundry and other staff to implement communication plans and activities, and with external and internal partners to respond to requests for HR information, collaborate on joint initiatives and events, and to coordinate communication activities. Responds to and tracks information requests from partners, and coordinates communication of responses.
  • Provides ongoing, frequent, clear and concise reports to program staff and leadership on progress updates, issues, challenges, and opportunities. Prepares and coordinates progress reports to PHC Human Resources department as needed.
  • Presents project updates to program staff and other teams, external agencies, organizations, and other partners. Ensures issues are resolved or escalated to appropriate level(s) so that program budget, schedule, deliverables, and user requirements are met.
  • Writes, edits, and coordinates production of a variety of content and material for internal and external publications, reports, knowledge products, and digital and social media channels as required.
  • Maintains library of program resources and contributes to the development of knowledge translation materials and effective strategies for dissemination and implementation of program information and outcomes.
  • Supports the revision of overall quality, consistency, factual accuracy, and effectiveness of program materials supported by FCO Human Resources.
  • Plans, organizes and coordinates in-person or virtual events such as committee or working group meetings, webinars, communities of practice, and other events as required. Coordinates with external vendors as required.
  • Plans, organizes and coordinates ongoing program human resources operational planning meetings. Works with administrative staff to schedule program and partner meetings. Develops agendas and related materials as required.
  • Works with program staff to coordinate the development and monitoring of funding or collaboration agreements.
  • Performs related administrative and clerical related duties as required.
  • Monitors and co-ordinates payment of program invoices and expenses.
  • Performs other related duties as assigned.
