Operations Assistant
to join our team and play a key role in supporting our day-to-day operations, customer service, and event coordination.
Position Overview
The Operations Assistant is a versatile position focused on administrative, operational, and event-support duties. This role ensures the smooth functioning of our club's office operations, assists with communication between staff, members, and the community, and helps create an exceptional experience for our athletes and families.
Key Responsibilities (include but are not limited to):
Administrative & Office Operations
Manage class enrollment and registration processes.
Oversee billing and payments, including bi-monthly mass charges.
Maintain accurate insurance records (Uplifter data entry, building and club insurance).
Organize filing and documentation (waivers, medical forms, registrations).
Track and order office and gym supplies.
Manage mailing--directing incoming mail and sending outgoing mail.
Customer Service & Communication
Provide front desk support for calls, walk-ins, and emails.
Collaborate on social media content creation (coordinate with marketing lead).
Prepare monthly newsletters and announcements.
Oversee lost and found (monthly donations).
Operations & Event Support
Assist with facility maintenance, including light front-end cleaning.
Support events, competitions, and special activities (venue booking, hotel coordination, setup).
Assist with grant applications and fundraising initiatives.
Liaise with board fundraising representative and bookkeeper as required.
Coordinate club volunteer tasks (cleaning bees, event assistance).
Qualifications & Skills
Strong organizational skills and attention to detail.
Excellent written and verbal communication.
Proficient in Microsoft Office / Google Workspace; familiarity with Uplifter is an asset.
Ability to multitask and work in a fast-paced environment.
Positive, team-oriented attitude with a customer service focus.
Experience in event coordination, fundraising, or administration is an asset.
Work Schedule & Compensation
20 hours per week (some evenings/weekends may be required for events).
$30 per hour.
