We have a full-time position for a Fleet Administrator at our BOXX Modular branch in Stoney Creek, ON



Reporting to the Branch Manager, the Fleet Administrator will be responsible for coordinating servicing and maintenance with external vendors, managing our fleet inventory, and performing inspections, among other duties. This role will require administrative work inside, as well as inspection work outdoors in all weather. Our fleet assets include rentable and leasable relocatable modular structures.

Duties and Responsibilities

Coordinating the servicing and maintenance of the fleet Working with vendors and subcontractors as required to ensure service of the unit is complete Coordinating on site service calls for repairs on trailers Issuing POs for associated service work on the units Maintain the transportation calendar and make arrangements with vendor for transport and install/dismantle of both units leaving and returning to the branch - includes PO's and BOL's to vendors Contacting customers and vendors for daily scheduling. Maintain Fleet Activity Report Manage and update new fleet production schedule for offline dates in order for transport to be coordinated. Ensuring transport company has all required paperwork Ensure BOL's are returned by transport company signed Monitor any warranty items on fleet units with manufacturer Monitoring daily fleet activity - ensure units have moved as scheduled in and out of yard. Prepare monthly, quarterly, and annual fleet count reports and water intrusion reports Maintain materials inventory needed for the repair of units. Order materials as needed, Maintain min and max levels of inventory, monthly materials inventory counts and Reconciliation to ensure correct balance is maintained. Completing the in and out inspections of the units if required Maintaining and organizing unit files Monthly, quarterly and annual fleet count and water intrusion reports in all yard locations Work in Service software to prepare chargeback reports to customer for damages to units returned. Contact customers and get approvals for charges, ensure sent to admin for billing. Do labour and material allocations in Service software to ensure proper labour hours and materials captured. Ensure proper GL coding is used. Coordinate billing with CA AFT's - Approval For Transfer - doing all required paperwork to transfer units from branch to branch as required - monitoring fleet asset locations Some travel may be required to remote sites (yards) other office locations Other duties as required

Qualifications:

Previous experience in administration, logistics coordination, or a related role in an operationally focused work environment. An expert problem-solver who thrives on bringing calm to chaos, being able to think calmly and clearly during challenging situations to de-escalate and provide effective solutions. Friendly, personable, and capable of building strong, positive and respectful relationships with clients and colleagues. Proficiency in computer skills in MS Office, with experience in SAP, NetSuite and SalesForce an asset. A post-secondary certificate or degree in business administration or a related field is an asset but not required. Highly organized, detail-oriented, and adaptable to changing priorities. Self-motivated with the ability to thrive in a fast-paced, dynamic environment. Strong communication skills, both written and verbal.
