About the Role - What We Are Looking For
In this role, the Firm Manager will work closely with PH's partners to manage the firm's Financial, Administrative, HR, Facilities, and IT infrastructures.
Responsibilities
Financial
Supporting the partners in setting and executing firm wide financial goals.
Conducting monthly revenue analysis/reports and strategic recommendations to partners ensuring alignment with the annual budget.
Preparing key performance indicators to assist the partners with firm management.
Providing strategic guidance, with market analysis, to partners on the implementation of rate updates, technology improvements, insurance applications, and other opportunities for efficiency and profitability.
Safeguarding the accuracy and effectiveness of the firm's financial systems including budgeting, planning, and reporting.
Working with the Accounting Specialist and bookkeeper on monthly billing, general and trust entries, regulatory and LSO requirements, and month end and year end reporting.
Submitting quarterly tax and LSO filings including HST and Civil Litigation Transaction Levies and filing exemptions as needed.
Administrative:
Developing operational policies and procedures to improve efficiency.
Ensuring operational practices comply with legal, regulatory, and firm requirements.
Fostering a positive workplace culture that aligns with the firm's best practices.
Marketing management-planning/metrics related to the marketing efforts of the firm.
Undertaking professional development to maintain practical and technical knowledge.
Establishing professional networks to stay current in best practices of law firm management.
Responsible for overall firm administration.
HR and Facilities:
Overseeing the administrative staff via mentoring, weekly admin meetings (including agenda setting and to do's), onboarding and offboarding staff as required.
Engaging in recruitment and performance management of staff, including lawyers.
Administering payroll, including T4 and vacation statements together with benefit administration and renewals.
Tracking time off, lieu time, vacation requests, and ensuring available staff coverage to support the lawyers' practices.
Fostering a positive workplace culture that aligns with the firm's best practices.
Liaising with landlord and partners regarding office space.
IT Infrastructure:
Liaising with the firm's managed service provider to ensure IT infrastructure is secure and service tickets are addressed in a timely manner.
Analyzing and leading technology improvements to enhance service delivery and maintaining security.
Assessing IT needs of the firm and making recommendations to the partners regarding upgrades, changes, projects, and IT governance.
Other firm-related duties and projects as assigned by the partners.
Qualifications & Skills
Solid experience in management including finance, operations, HR, and technology
Tech-savvy with advanced knowledge of Microsoft suite of applications, PCLaw/Soluno/Actionstep and various client billing portals
Post-secondary education is required
Strong organizational and time management skills
Close attention to detail with strong analytical ability
Ability to work both independently and collaboratively in a fast-paced environment
Client-service oriented, with strong communication and interpersonal skills
Adherence to confidentiality and other LSO obligations
