As the Financial Coordinator, you will support the financial infrastructure that powers our programs, services, and capital projects, ensuring transparency, compliance, and operational efficiency.

Job Summary:



The Financial Coordinator plays a key role in managing day-to-day financial operations, supporting nonprofit accounting functions, and ensuring accurate reporting for internal and external stakeholders. This position oversees accounts payable and receivable, payroll, fund tracking, reconciliations, budget support and drafting, and grant reporting. The role also supports cash handling oversight, internal controls, and customer account management to ensure strong stewardship of Nitehawk's diverse revenue streams. It requires a solid understanding of nonprofit financial management, exceptional attention to detail, and the ability to work collaboratively in a mission-driven environment.

Key Responsibilities:

Bookkeeping & Financial Processing

Prepare and issue invoices; manage EFTs and payment processing. Record all transactions, track program and fund revenue (including donations and grants), and maintain ledgers and journals. Reconcile bank accounts, cash transactions, credit card statements, and petty cash. Cash Handling Oversight.Monitor and reconcile daily cash-outs from POS systems, support procedures for cash deposits and secure handling. Accounts Receivable Follow-up. Manage customer accounts; monitor ageing reports and support collections or payment reminders as needed. Inventory and Asset Support. Assist with tracking inventory purchases, cost allocations, and periodic inventory counts; support asset management records. Month-End and Year-End Close. Support monthly close procedures, including accruals and reconciliations; help prepare schedules for year-end audits. Financial Policy Development. Contribute to developing and updating internal financial policies and procedures to strengthen controls and efficiency. Systems Improvement (if relevant to role). Assist with evaluating and implementing upgrades or changes to accounting systems and digital tools.
Payroll & Compliance

Process biweekly payroll, calculate deductions, and submit remittances. Maintain employee payroll records and ensure adherence to employment standards. Ensure compliance with CRA regulations, GST submissions, and nonprofit reporting requirements. T4 and year-end payroll reporting.
Budgeting & Reporting

Prepare weekly, monthly, and annual financial reports for management and the board. Support budget creation, tracking, and reporting across departments and projects. Track restricted and unrestricted funding and monitor deferred revenues. Assist in the preparation of year-end financial statements and audit documentation. Participate in variance analysis to support departmental accountability.
Grants, Donations & Fund Accounting

Assist with grant reconciliation and ensure spending aligns with funding agreements. Track donations and issue tax receipts in accordance with CRA charitable guidelines. Maintain records and reporting structures for fund-based accounting.
Audit & Internal Controls

Maintain accurate and well-organized records to ensure audit readiness. Prepare documentation for annual audits and funder reviews. Support the development and enforcement of internal financial policies and controls. Implement and monitor internal controls over cash, purchasing, and disbursements.
Systems & Administrative Support

Manage accounting software (QuickBooks Pro), ensuring revenue classes and fund codes are properly maintained. Utilize Excel, Google Sheets, and other digital tools for analysis, reconciliation, and reporting. Collaborate with the General Manager on financial projects, grant applications & reporting, and policy development.

Requirements:

Education:

Diploma in Business Administration with a focus on accounting, or equivalent combination of education and nonprofit experience.
Experience:

Minimum 2 years in a financial coordination or accounting role, ideally in a nonprofit setting. Proficiency in QuickBooks Pro and Microsoft Office Suite (especially Excel). Experience with CRA charitable reporting, fund accounting, and grant financial management. Familiarity with audit preparation and financial reporting to boards.

Work Conditions

Full-time (32-40 hours/week) Primarily weekday hours, with flexibility for some evenings/weekends during reporting or audit deadlines Primarily on-site at Nitehawk Year-Round Adventure Park, with some flexibility for hybrid work during non-peak seasons or by mutual arrangement.
