The position will provide administrative support to the Director of Finance. The position is assigned to providing a broad range of secretarial and clerical services (i.e. word processing, routine records, and central file management system, organizing events).
Reporting Relationship
The Administrative Assistant will work under the direction of the Director of Finance.
ESSENTIAL FUNCTIONS
Prepare internal and external correspondence, presentations, and other documents. that are required.
To prepare and organize the Finance Manager's meeting schedules and packages
Research, create and edit presentations, make travel reservations and complete registrations for seminars, and maintain a network data base.
Organize, respond, and keep track of requests and inquires
Highly involved in preparing and scheduling meetings by preparing the agenda and packages for the meetings, record minutes and submit minutes for approval, distribute minutes; Follow up with motions; Review and edit reports for the meetings; Prepare correspondence for the Director of Finance and meeting members; Prepare member's honorariums
Assist with the preparation of newsletters, AGM, community meetings/events, financial, narrative, and statistical reports
Develop file management procedures manual for efficiency and effectiveness for the retrieval of stored documents
Asist with work assignments for special projects
Maintains records of staff timesheets
Assist with preparing Payroll when required
Provide Administrative support to the Finance team
All work performed will be in accordance to M'Chigeeng First Nation Policy & Procedures
Perform any other task related to this position judged necessary
Qualifications
Preferred
OSSD with a minimum of two years related work experience and training
Must have knowledge and/or experience with the language, culture, history and customs of the Anishinabek
Customer Service Training
Must have working knowledge office procedures, file management and policy development
Must have good working knowledge of Microsoft Word, Excel, Power Point and Outlook
Ability to maintain a high degree of confidentiality
Excellent communication skills, written, verbal and public relations
Criminal Reference Check (CRC)
