Finance Coordinator, Reception & Administrative Assistant, Program Operations Administrator

Compensation:

? $29.25-$31.66/hour as per the 2025 pay grid ? Eligible for group health plan and pension ? Ten (ten) Paid Time Off days in lieu of sick days

Term:

? Permanent, Full-Time (40 hours per week); Monday-Friday ? Rotating on-call coverage (evenings and weekends) as required.

Job Purpose/Summary:

The Operations Manager plays a key leadership role in ensuring the financial and operational stability of One City Peterborough. This role oversees financial systems, reporting, and forecasting; manages day-to-day administrative operations; and contributes to strategic decision-making that supports organizational growth and accountability. Reporting to the Executive Director, the Operations Manager ensures that One City's financial systems, infrastructure, and administrative processes are effective, compliant, and aligned with the organization's mission and strategic goals.

Primary Duties and Responsibilities



? Financial Oversight and Stewardship

? Provide strategic financial leadership to ensure the organization's fiscal health and sustainability.

? Prepare, review, and analyze monthly and quarterly financial statements, ensuring accuracy and transparency.

? Collaborate with the Executive Director to prepare annual operating budgets and financial forecasts.

? Conduct variance analyses and develop actionable insights to support decision-making and risk mitigation.

? Oversee budget updates, reallocations and projections across programs and departments.

? Ensure financial data integrity across systems (e.g., QuickBooks, Payworks).

? Supervise the Finance Coordinator in processing payroll, invoices, and reconciliations. ? Ensure compliance with accounting standards, government contracts, and funder reporting requirements.

? Financial Reporting and Data Analysis

? Lead the development of financial reports and dashboards for internal leadership and Board of Directors.

? Support grant and funding applications by preparing budget narratives, expenditure reports, and outcome metrics.

? Identify trends, cost efficiencies, and emerging financial risks through ongoing data monitoring and analysis.

? Develop and maintain internal tracking tools to support data-informed operational decisions.

? Strategic Operations and Policy Development

? Oversee organizational systems, technology, and administrative processes that support operational efficiency.

? Oversee the administrative staff who will lead tech asset tracking, tech troubleshooting, and compliance and improvements of tech procedures.

? Lead the development, implementation, and monitoring of operational policies and procedures, ensuring compliance and alignment with the organization's mission and values.

? Oversee contracts, leases, and insurance policies, ensuring appropriate documentation and renewals.

? Contribute to risk management planning and organizational compliance across programs and sites.

? Supervision and Team Leadership

? Provide direct supervision and mentorship to administrative and finance staff at the coordinator and direct service level.

? Foster a culture of collaboration, learning, and accountability.

? Support staff development and succession planning within administrative roles.

? Delegate and oversee tasks related to bookkeeping, data entry, tech, procurement, and records management.

? Board and Executive Support

? Collaborate with the Executive Director to prepare financial updates, reports, and analysis for the Board of Directors.

? Provide strategic input on operational priorities, resource allocation, and long-term planning.

? Support Board committees (e.g., Finance) with timely, accurate, and comprehensive information.

? Cross-Departmental Collaboration

? Work with program and senior management to align financial processes with program realities.

? Support staff in interpreting budgets and financial data for decision making.

? Coordinate communication between finance, administration, and program teams to ensure operational cohesion.

? Partnerships and Site Coordination

? Manage relationships and communications with Trinity Centre partners and tenants. ? Serve as the primary liaison for site-related issues such as parking, shared facilities, access, scheduling, and maintenance coordination.

? Maintain open communication channels to ensure positive collaboration, clarity of expectations, and prompt response to operational concerns.

? Support development of clear site-use agreements and partner coordination processes. .

Qualifications



? Commitment to the mission and values of One City Peterborough

? 3-5 years of progressive experience in nonprofit financial or operations management.

? Strong understanding of nonprofit financial management, including funder reporting, budget forecasting, and compliance.

? Software proficiency (e.g., QuickBooks, Payworks, G-Suite) for data analysis and reporting.

? Exceptional skills in financial forecasting and variance analysis.

? Experience preparing reports for Boards, funders, and senior leadership.

? Proven ability to develop policies and implement best practices.

? Strong written and verbal communication skills; able to present complex data clearly.

? Collaborative leadership style with experience supervising staff.

? Sound judgment, integrity, and ability to maintain confidentiality.

? Post-secondary education (or equivalent) in Finance, Accounting, Business Administration, or a related field is considered an asset.

? Current and original copy of a satisfactory Criminal Records Check, Vulnerable Sector Search and Child Abuse Registry Check is required.

Work Conditions and Physical Capabilities



? Primarily office-based; occasional evenings or weekends as required.

? Fast- paced,collaborative, and dynamic work environment requiring strong focus, adaptability, and time management.

? Exposure to many hazards e.g., infection, violence, harsh weather conditions, bed bugs, mould, blood, excrement, working alone, slips trips and falls, uncontrolled substances and other exposures
