Role Overview
The Junior Finance Administrator supports core accounting, administrative finance, bookkeeping, taxation compliance, real estate operations, and contracting activities across corporate and property entities. The role emphasizes strong controllership, timely reporting, and scalable processes during a period of rapid growth.
Key Responsibilities
Accounting & Reporting
Day-to-day bookkeeping.
Process accounts payable and receivable.
maintain vendor and tenant master data; schedule payment runs.
Post journal entries and maintain the general ledger; complete monthly and quarterly close checklists.
Perform bank and credit-card reconciliations;
Prepare and file simple and NIL T2 corporation tax returns, HST returns, and supporting schedules.
Produce property-level and corporate financial statements, cash-flow snapshots, and basic variance analyses.
Assist with annual budgets and rolling forecasts; support working papers for external accountants and year-end filings.
Annual reporting to mortgage lenders and financial package preparation for lenders on new originations
Real Estate Operations
Record rent receipts and other property revenues; track arrears and apply late-fee policies in the ledger.
Communicate with tenants regarding late payments, defaults, PAD Agreements, and arranging for replacement of post-dated cheques
Calculate, track and post operating cost allocations (i.e. capital expenses, repairs, maintenance, and other recoveries); prepare related invoices.
Maintain fixed-asset registers and capitalization schedules for property-level projects; support cost-to-complete tracking.
Lease administration - managing lease rate changes and tenant communications
Support banking and make in-branch deposits
Property tax and utility account management and payments
Contracting & Compliance
Administrate service agreements and construction agreements; maintain a central contract register.
Support document-retention and record keeping, mail digitization
Maintain corporate records and minute-book updates in good order.
Business Decisions
Support investment, asset management, capital allocation and property operations to deliver timely financial data that informs decisions.
Investor Reporting
Bachelor's degree in accounting (required).
CPA designation completed or in progress is an asset.
Real estate accounting experience is an asset (co-op, internship, or previous entry-level role)
Software: QuickBooks and Microsoft Excel required; Yardi experience is a plus.
Strong attention to detail, high sense of ownership, meticulously organized.
Clear written and verbal communication; professionalism in working with internal and external partners
Compensation & Benefits
Base salary:
$50,000-$85,000, commensurate with experience and professional designation.
