Position Overview:

LEGACY is seeking a highly organized and detail-oriented Finance Administrator / Administrative Assistant, based in the Lower Mainland area, to support our British Columbia operations. The successful candidate will assist with timesheet and expense approvals, accounts payable, project tracking. This role will also include general administrative support and office coordination.

This is an excellent opportunity for someone at the beginning of their career in finance or administration who is eager to learn and grow in a collaborative consulting environment. With training and experience, this position has the potential to grow into more advanced roles such as Accounting Assistant or Office Manager.

Responsibilities:

As a Finance Administrator / Administrative Assistant, your role is expected to include, but not be limited to, the following:

Finance and Project Administration

Assisting with payroll administration. Processing vendor invoices and tracking expenses in project management software. Supporting project setup in project management and accounting systems. Reviewing and approving timesheets and expenses. Assisting with preparation of project invoices. Supporting preparation of basic financial reports. Liaising with LEGACY's finance team.
General Administration and Office Management

Track minutes and action items at operational meetings. Help to organize all-staff meetings and events. Support development of proposals and marketing materials. Format documents to achieve a consistent look and feel to LEGACY's reports. Support company-wide administrative initiatives and improvements. Coordinate office supplies, equipment, and facilities.
Qualifications:

To be successful and thrive in this role, we expect the following qualifications and attributes will be necessary:

A diploma, certificate, or coursework in finance, accounting, business administration, or a related discipline (or equivalent work experience) is desirable. Up to two years of relevant experience in finance, bookkeeping, or administrative support (co-op, internship, or work placement experience will be considered). Experience working in a consultancy is considered an asset. Strong organizational skills and a high level of attention to detail. Proficiency with MS Excel, Word, and Outlook; experience with accounting or project management software is an asset but not required. Strong verbal and written communication skills. Ability to work independently and collaboratively in a team environment. Ability to prioritize tasks and meet deadlines across multiple tasks and projects. A willingness to learn, adapt, and take initiative.
