We are seeking a highly organized and detail-oriented
Administrative Assistant
to support the Finance Department and general office operations. The ideal candidate will have strong clerical and communication skills, proficiency with office software, and experience assisting with financial tasks. This role plays a key part in maintaining smooth day-to-day operations, supporting finance workflows, and ensuring accurate documentation and record-keeping. Experience in Finance, Accounting, or HR administrative procedures is considered an asset.
Key ResponsibilitiesFinance & Banking Support
Assist the Finance Manager and Assistant Finance Manager with daily financial operations.
Support bookkeeping tasks including invoicing, expense tracking, and data entry in QuickBooks, Sage, or similar accounting software.
Prepare bank deposits, run banking errands, and assist with reconciliations as required.
Maintain accurate digital and physical financial records and filing systems for easy retrieval.
Support preparation of financial reports, spreadsheets, and documentation.
Administrative & Clerical Duties
Manage front desk and reception responsibilities, ensuring professional customer service at all times.
Perform accurate data entry using Microsoft Office, Google Workspace, and specialized software.
Handle general office tasks such as photocopying, scanning, sorting mail, and organizing supplies.
Proofread and format documents to ensure clarity and accuracy before distribution.
Schedule appointments, manage staff calendars, and assist with meeting coordination.
Respond to inquiries via phone, email, and in person with professionalism and efficiency.
Support HR administrative functions when required.
Required Skills & Qualifications
Proficiency in
Microsoft Office Suite
(Word, Excel, Outlook) and
Google Workspace
applications.
Strong computer literacy with the ability to learn new systems quickly.
Experience using
Sage, QuickBooks, or similar bookkeeping software
(preferred).
Excellent organizational abilities and strong attention to detail.
Fast and accurate typing and data entry skills.
Strong proofreading skills with the ability to ensure error-free documents.
Exceptional phone etiquette and customer service skills.
Ability to multitask and prioritize in a fast-paced environment.
Previous clerical or administrative experience in an office setting.
Knowledge of filing systems and document management best practices.
Ability to pass a Criminal Record Check
(required).
Job Type: Part-time
Pay: $23.00-$28.00 per hour
Expected hours: 24 - 40 per week
