Job Overview
We are seeking a detail-oriented and organized File Room Assistant to join our team. In this role, you will be responsible for maintaining and managing our filing systems, ensuring that all documents are accurately filed and easily accessible. The ideal candidate will possess strong administrative skills, a keen eye for detail, and the ability to work efficiently in a fast-paced office environment. This role will ensure that the flow of patient file information is continuous and without interruption. The duties include:
Receipt and verification of boxed medical records (including the ability to lift a 45lb bankers' box)
Ability to multi-task and work well in a fast-paced environment
Ability to stand for long periods, bend, crouch, and kneel
Previous warehouse experience is an asset
Demonstrates diligence in completing volume of work with steady and sincere effort
Demonstrates accuracy, thoroughness, and reliability
Retrieval or specific records upon request
Refiling of records previously retrieved
Coordination of requested files with other departments
Organize and maintain physical and electronic filing systems to ensure efficient data retrieval.
Perform data entry tasks with accuracy and attention to detail.
Assist in the collection and management of data for various projects.
Type documents, reports, and correspondence as needed.
Support office operations by performing clerical duties such as answering phones, greeting visitors, and managing office supplies.
Ensure compliance with organizational systems and procedures for document handling.
Collaborate with team members to improve filing processes and office efficiency.
Candidate should possess the following skills:
Detail-oriented with an eye for organization
Proficient in touch-typing with experience using MS Office and Excel, in particular
Fast learner of new software systems
Team player who can work in a collaborative environment
Positive attitude
Comfort level at using a manual pallet forklift (non-electric)
Experience
Previous experience in an administrative or clerical role is preferred but not required.
Proficiency in using office software applications, including word processing and spreadsheet programs.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent attention to detail and accuracy in data entry and document management.
Ability to work independently as well as part of a team in a dynamic office setting.
