FACULTY PROGRAM ADMINISTRATOR

FACULTY OF BUSINESS, ENVIRONMENT, AND TECHNOLOGY

Reporting to the Academic Program Manager the Faculty Program Administrator provides administrative support to the Faculty (Instructors, Chairs, and Associate Chairs) within the Department to ensure the efficient operation of the programs. The Faculty Program Administrator also provides support to the other administrators and units within the FBET as required.

HOW YOU\'LL MAKE A DIFFERENCE

  • Maintain Instructor handbook.
  • Submit and assist with grades; prepare final grade documentation for distribution to instructors and coordinators. This includes instructions on how to submit final grades and deadlines for final grade submission.
  • Assist in allocating Instructor Assignments and updating class sections with Instructors.
  • Support Faculty meetings with logistics, recording, maintaining Action Logs and distributing information.
  • Code invoices, arrange for signatures, submit to finance for payment and maintain files as per NQC guidelines.
  • Order and maintain classroom and program office supplies, education supplies, books, and/or equipment that support the programs.
  • Word process program material, correspondence, reports and compose routine letters from general instruction or on own initiative based on established procedures.
  • Generate reports, develop when required and collate data for presentation.
  • Maintain and distribute term start administrative support guides to staff and faculty.
  • Update and maintain information on The Q relating to the FBET programs.
  • Responsible for data accuracy in PeopleSoft Student.
  • Maintain appropriate records and reports in PeopleSoft Student database.
  • Oversee scheduling, attendance, and grade book for courses in PeopleSoft Student.
  • requests, etc) required by the various areas is compiled and submitted as required.
  • Track faculty leave to ensure it remains in guidelines.
  • Create, update and maintain data collated in spreadsheets.
  • Enter and maintain data for the IRCC databases according to timelines.
  • Records management as per NQC requirements.
  • Update student learner plans and notify applicable staff and faculty members as to student movements.
  • Liaise with Timetabling for schedule changes.
  • Attach instructors to relevant sections.
  • Ensure all grades are entered for students then submit each grade roster to the corresponding Program Chair for approval.
  • Lodge expense claims (In PS Finance) for Program Chairs, Associate Chairs, Instructors and other staff as required.
  • Book classrooms, computer labs, and resources throughout the term as required.
  • Gradebook set up/modification/troubleshooting for instructors.
  • Upload legal documents to the student record.
  • Provide cover off with Student Program Admin to establish coverage between the two positions in times of absence.
  • Provide cover off at the front desk answering phones, booking appointments, and distributing mail as required.
  • Assist administrative staff and the leadership team as required.
  • HR onboarding, provide training to new staff.
  • Project management support as required.
  • Develop and maintain administrative process documents.
WHAT YOU BRING
  • Post-secondary certificate or diploma in the area of office or business administration preferred.
  • 1+ years\xe2\x80\x99 experience in a similar role.
  • Advanced ability in MS Office products Word, Excel and Outlook. MS Teams, OneDrive, and BI are an asset.

SALARY: $43,445 - 56,469 Reflective upon what you bring AKA your education and experience. Plus, immediate access to our great pension and benefit programs. This is a full-time permanent position.
