is currently seeking a Full-time Limited Term

Facilities Team Lead

for approximately 12 months.


The University of Calgary Downtown Campus (DTC), which opened in 2010, offers programs by Continuing Education and the School of Public Policy and other Faculties of the University of Calgary. This position reports to the Manager, Facilities and Operations, with the work performed under minimal supervision.


The intended working hours are Monday through Friday, 8:30 a.m. to 4:30 p.m., but may change based on the business needs. Depending on the campus needs, these hours may be adjusted periodically. Occasional weekend work might be necessary. Overtime could be required, and the incumbent may be expected to be on call standby.

Summary of Key Responsibilities

(job functions include but are not limited to):

In collaboration with the Manager, Facilities and Operations, coordinate and supervise general maintenance, upkeep, and repairs of the Downtown Campus and Continuing Education Spaces on main campus by developing an annual maintenance plan, identifying equipment needed and estimating annual maintenance cost. Supervise General Maintenance Workers and Technology/Facility Support Analysts, through the assignment of tasks per shift, and coordinating schedule as per the business need of ongoing events and classroom. Maintain a work order list to track tasks required for maintenance, date assigned, priority, status, and date completed. Assist with and implement systems for inspecting and managing the quality of DTC and main campus facilities, furniture and equipment. Participate in quarterly campus tours with DTC leadership to identify tasks/priorities such as furniture and media equipment needs, maintenance of deficiencies and further areas of improvement to ensure the expected standards of a Class A building. Attend and often chair weekly administration and facilities staff meetings. Review weekly campus reports to identify any potential setup issues. Assist in the receiving and distributing of supplies to staff at beginning of shift, to control inventory and ensure proper supplies are available, while controlling expenses. In collaboration with the Event Coordinator, act as a key contact to campus users regarding implementation of repairs, furniture and equipment for campus and event use. Communicate and collaborate regularly with the Manager, Facilities and Operations, on all matters involving facility staff performance, facility maintenance matters, campus projects, and client feedback. As part of client services, the Team Lead ensures that classroom, meeting, event, and multi-purpose spaces are well-maintained with the proper allotment of tables and chairs arranged according to the specifications and time bound needs of the users. On-floor client interaction is managed to ensure their experience at the Downtown Campus and main campus locations is positive. Before each class, checks are done to ensure the classroom computer and projection equipment are on and operating. Assistance is provided to instructors as needed.

Qualifications / Requirements:



Effective supervision of a small team is a valuable asset that contributes significantly to achieving organizational goals. Working in a professional business customer service environment is a critical asset. Moderate experience and user capability in the Microsoft office suite including word, e-mail, outlook calendar is a critical asset. Non-certified general facility maintenance experience is required. Ability to train and mentor other staff members with facilities and maintenance related task. Ability to use hand and power tools, work on ladders at various heights, and demonstrate a safety-conscious approach. Knowledge of essential technology tasks, such as powering on classroom computers and projectors, troubleshooting screen issues, and assisting instructors with setup for class, is required. Supervise and assist in the procurement of specialized trade tasks. Knowledge of basic facility maintenance tasks such as drywall mudding, taping, sanding, minor plumbing and painting techniques. Basic knowledge of furniture upkeep and lock mechanism repair Must hold a valid minimum Class 5 Alberta Driver's License. Experience supporting facilities operations and events is considered an asset. Excellent customer service skills, including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Ability to actively listen to and understand information and ideas presented and have ability to communicate information and ideas so others will understand. Comfortable working with others in a team environment, including mentoring and sharing knowledge with co-workers. Proven record of being able to work independently with minimal supervision to complete tasks assigned in a timely manner and have the ability to handle multiple demands and competing priorities. Physical strength and ability to lift and/or carry loads up to 25kg. Ability to perform physically demanding activities, including climbing, lifting, balancing, walking, stooping, and handling of materials. Ability to walk and stand for extended periods during the regular shifts. Ability and willingness to work in various environments, including office settings, classrooms and event/meeting spaces, and storage/service areas. Strong work ethic and initiative relating to continuous improvement, possessing the personal qualities of integrity, trustworthiness and reliability, high standards, and ethical values. Superior organizational skills with the ability to prioritize, manage time, and meet deadlines. Flexibility to work variable hours, including evenings and weekends, depending on operational needs Ability to respond quickly and appropriately during emergency situations, supporting safety and continuity. Fluency in spoken and written English to ensure effective communication in all work setting.
