The Canadian Dental Association (CDA) is seeking to fill a vacancy in its Operations team. The full-time, in-person

Facilities & Operations Associate

reports directly to the Head of Operations. This position assists the team by coordinating the daily operations of the building, including facilities management, tenant support, shipping/receiving, and general office services. This role ensures the smooth functioning of the property while providing excellent service to tenants and maintaining efficient logistical and administrative processes.

Your core responsibilities will be to;



Oversee day-to-day building operations, including maintenance, cleaning, security, and safety compliance.

Act as the contact person for contractors, service providers, and vendors supporting building functions.

Ensure building systems (HVAC, lighting, utilities) are operating efficiently and report issues promptly.

Maintain records related to building maintenance, inspections, and service schedules.

Serve as the first point of contact for tenant inquiries, requests, and complaints.

Communicate building policies, emergency procedures, and updates to tenants.

Foster positive tenant relationships to ensure satisfaction and retention.

Manage incoming and outgoing mail, packages, and courier services.

Coordinate shipping and receiving of goods and materials, ensuring accurate tracking and documentation.

Distribute mail and packages efficiently to internal teams or tenants.

Maintain organized shipping and receiving records.

Provide printing services and arrange for service of equipment.

Monitor and order office and building supplies as required.

Continuously look for opportunities to improve efficiency in operations and services.

You should have;



2 years minimum experience in building operations or equivalent experience.

Strong writing and interpersonal skills.

Experience working with vendors, contractors, or tenants in a customer-service setting.

Strong organizational skills with the ability to manage multiple tasks and priorities.

Proficiency with Microsoft Office.

Problem-solving mindset with the ability to resolve issues independently and efficiently.

Team player, skilled in cross-team collaboration.

Ability to lift and carry packages up to 25-30 lbs as part of shipping, receiving, and warehousing duties.

Comfortable working on-site with a mix of office and building/warehouse environments.

We consider the following to be an asset;



Health & Safety Training (e.g., WHMIS, First Aid/CPR, Fire Safety Warden training).

Post-secondary education in Facilities Management, Business Administration, or a related field.

Basic knowledge of contract/vendor management (e.g., reviewing service agreements, evaluating supplier performance).

Strong conflict resolution skills to handle concerns tactfully.

Proactive mindset -- spotting and solving potential issues before they escalate.

Ability to work independently with minimal supervision while still collaborating when needed.

Experience coordinating

minor repairs or renovations

with contractors.
