What this job involves:



JLL is hiring a Facilities Coordinator to be on-site with our client and manage their office services program. You will rely on you to be the face of JLL and provide exceptional customer service. Working closely with the client team, you will ensure the facility is running smoothly and client meets are met as per the contract. This role manages one floor of office space, blocks away from the harbourfront in downtown Vancouver. You will excel in this role is you are well organized, can manage multiple priorities and have strong interpersonal skills.



What your day-to-day will look like:



Conduct site inspections and assessments to ensure all building procedures and performance measures are always maintained.



Seek ways to constantly improve operational standards and drive best value.



Always maintain premises in neat and good working condition.



Provide support for regular reporting packages.



Provide specific assistance to the project management team as needed or requested and during moves and refurbishments.



Resolves problems associated with all building services including- janitorial, food service, coffee services, parking, vending, security, conference rooms, furniture as well as interior and exterior furnishings, fixtures, and equipment



New hires facilities introduction and on-site support for internal meeting- room set-up, equipment checks, catering support into the conference rooms.



Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors' works)



Assist in the procurement of vendors and services as required. Ensures all supply orders are placed in a timely manner; comply with all sourcing directives.



Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner.



Ensure prompt and accurate management of purchase orders.



Assists FM manager with researching, analyzing, and reporting budget variances.



Raise local purchase orders and requisitions.



Assist in the implementation of Industry Best Practice operations.



Assist in the implementation and management of property risk management program.



Support the implementation and monitoring of disaster recovering and business continuity plans.



Follow established escalation procedures and incident reporting procedures.



Adhere to JLL's business conduct by ensuring compliance with the firm's guidelines, procedures, and strategies.



Required Qualifications:



2+ years of experience in facilities management or a similar role



Strong background in customer service



Ability to work independently and manage multiple priorities
