Facilities Coordinator
The Facilities Coordinator will be primarily responsible for overseeing all facility management activities including general maintenance, vendor management inventory, health & safety and security.
In summary, the Facilities Coordinator will:
Ensure all building and premises are maintained, addressing any concerns in a timely manner and in compliance with health and safety legislation
Supervise maintenance and repair of facilities and equipment.
Manage and negotiate contracts.
Obtain quotes and tenders from vendors.
Prepare and monitor the occupancy budget.
Have responsibility for monitoring office lighting, HVAC, water treatment, pest control, mat services and fire extinguishers, addressing any deficiencies by using third party services.
Conduct and document regular facilities inspections ensuring our facilities maintain Five Star and Health and Safety standards.
Liaise with third party power supplier to ensure generators are adequately fueled and testing is done on a monthly basis.
Act as first point of contact for building security and after hour emergencies at main branch and Toronto corporate office; and back up to out-of-town branches across Ontario.
Oversee shredding services and manages offsite file record system with relevant third parties.
Ensure purchase orders and work orders are approved prior to obtaining services.
Provide prompt responses to requests and issues identified by management.
Any other duties as assigned.
The "must-have" skills and qualifications that we're looking for are:
A diploma or certificate in property management, maintenance management, or other related field.
Ability to work in a fast-paced environment.
Excellent organizational and time management stills.
Knowledge of procurement and contracts and the ability to successfully work with multiple vendors.
Experience in maintenance and all facets of facility operations is required.
This position requires the ability to lift and carry items up to 20 pounds in weight on a regular basis. You must be comfortable climbing ladders and working with hands overhead.
A valid drivers license is required.
These additional skills are considered assets too:
Previous supervisory experience.
Knowledge of electrical and mechanical systems.
