Job Description

The Facilities Coordinator supports the day-to-day operations of the hospital's physical infrastructure, ensuring a safe, efficient, and well-maintained environment for patients, staff, and visitors. This role acts as a liasion between frontline staff, contractors, and leadership, and is responsible for administrative coordinator, compliance tracking, and operational support.
Primary Responsibilities:
Systems & Operational Coordination

  • Coordinate the use of the Computerized Maintenance Management System (CMMS) to manage and assign reactive and preventive maintenance across the hospital.
  • Ensure accuracy and integrity of maintenance data, conduct system audits as requested by the Manager.
  • Oversee the generation, posting, and tracking of work orders to support timely completion and accountability.
  • Oversee the generation and tracking of purchase order to support timely completion and accountability.
  • Managing inventory levels and ensuring compliance with equipment and stock.
  • Collaborate daily with the Manager to allocate Facilities Management staff to assignments, develop timelines, and ensure operational priorities are met.
  • Coordinating contractor's readiness and compliance to hospital standards.
  • Provide regular updates to the Manager on departmental workflows, project progress, and emerging needs.
  • Perform additional tasks assigned by the Manager or Director to support departmental operations.
Key & Resources Management
  • Oversee the hospital's key management process, maintaining accurate records, processing requests, and working with the locksmith to confirm functionality prior to distribution.
  • Support compliance with regulatory bodies and consistency by maintaining and updating Facilities Management policy and procedure manuals in collaboration with leadership and committees.
  • Coordinate the purchasing and distribution of Facilities Management and Security supplies, uniforms, and equipment to ensure availability and adherence to standards.
  • Maintain training records for Facilities Management staff, coordinating required training to meet compliance and departmental needs.
Wayfinding & Signage
  • Oversee hospital wayfinding under the direction of the Director, ensuring accuracy and visibility of signage.
  • Coordinate printing, installation, and ordering of corporate signage as required.
Qualifications
Education:
  • Recognized degree/diploma in Business Administration or related field required.
Experience:
  • Minimum of three (3) years' experience in related field is required.
  • Advanced computer skills in word processing, spreadsheet and database software is required.
  • Previous direct experience in database inputting and management of Facilities Management specific programs required (card access, parking management systems, security systems, computerized maintenance systems).
