Brief
The Export Documentation Specialist, reporting to the VP of Finance, will be responsible for the preparation of all of the export documents for Donald's Fine Foods. This position also works in conjunction with the rest of the office team in completing reception and other office duties.
Responsibilities
Prepares, verifies, and processes export documentation, including invoices, packing lists, bills of landing, certificates of origin, and other documents needed for export customers.
Ensures all documentation complies with the destination country's requirements and international trade regulations.
Ensures that all time-sensitive documents completed without errors and on time.
Liaises with the CFIA Veterinary staff for Export documents signed and stamped correctly and timely.
Coordinates and gathers all required shipping and financial documents for preparation and approval. Has all of the documents approved by the customers in a timely manner.
Maintains open communication on the export loading and documentation requirements between the CFIA, production, shipping, sales, storage and loading facilities as well as freight forwarders and customers.
Addresses documentation discrepancies, shipping delays, and compliance issues promptly, and works with stakeholders to find solutions to any challenge affecting shipment delivery or legal compliance.
Stays updated on international trade laws, customs regulations, and shipping requirements, and verifies that all shipments comply with relevant export laws, including embargoes, trade agreements, and classification requirements.
Reviews the export inventory and the orders on hand to schedule the loading of the exports and coordinates with the customers.
Maintains detailed records of export transactions and documentation.
Additional duties as assigned.
Position Requirements & Skills
2 to 3 years of business, export or documentation experience preferably in the food processing business.
Effective multilingual language communication skills - Verbal and written English & (Cantonese or Mandarin) is a definite asset.
High School and some Post-Secondary education (CITP or CCLP as asset).
Computer/System literacy - Microsoft Office; Inventory/Planning/Scheduling.
Ability to multitask for a large volume of transactions.
Ability to work independently as well as in a team environment.
Physical Requirements
Sitting and standing for extended periods of time.
Typically works Monday to Friday 8 hours per day with 1 hour of unpaid lunch (flexibility required based on business needs).
Must have a car to commute to the worksite.

Pay: $50,000.00-$55,000.00 per year
