Role Overview
Teifi Digital is looking for a highly capable Executive Assistant / Personal Assistant to support our CEO. This is a hands-on, in-person role for someone who thrives in fast-moving environments and is comfortable balancing executive-level support with constant, practical execution.
This role is about removing friction from the CEO's day -- managing time, handling logistics, running errands, keeping the office operating smoothly, and making sure nothing falls through the cracks. It is less about email and more about anticipation, judgment, and follow-through.
The ideal candidate is a self-starter who sees what needs to be done and does it, without waiting for instructions. Over time, this role has the opportunity to grow into broader executive operations or a Chief of Staff-style role, depending on performance and interest.
What You'll Be Doing
Executive & Calendar Support (Primary Focus)
Own the CEO's calendar end-to-end, including scheduling, prioritization, rescheduling, and conflict resolution
Actively protect time for deep work, leadership, strategy, and external relationships
Coordinate meetings across internal leadership, clients, partners, and external stakeholders
Ensure the CEO is prepared for meetings with agendas, context, and relevant background
Ongoing Errands & Hands-On Support (Daily)
Run errands frequently and proactively (pickups, drop-offs, supplies, equipment, food, documents, etc.)
Be available to handle last-minute or time-sensitive requests throughout the day
Support both business-related and limited personal tasks for the CEO
Ensure small tasks never become distractions for leadership
Office & Environment Management
Keep the office running smoothly day to day
Manage office supplies, snacks, and basic facilities needs
Coordinate service providers, deliveries, and office-related logistics
Act as the go-to person for on-the-ground issues that need immediate resolution
Travel, Events & On-the-Ground Support
Coordinate travel logistics and itineraries for the CEO
Support in-person events, leadership offsites, and partner meetings
Occasionally travel with the CEO or leadership team when required
Cross-Functional Coordination
Act as a connective layer between the CEO and senior leadership
Track action items and help ensure follow-through across teams
Help unblock execution when leadership involvement is required
Operational Leverage & Initiative
Identify inefficiencies in scheduling, office operations, or workflows and improve them
Take ownership of ad-hoc projects that reduce executive and leadership friction
Maintain strict confidentiality and exercise sound judgment at all times

Strong candidates may come from backgrounds such as:
Executive Assistant or Personal Assistant
Film / Production Assistant
Nanny or Household Manager
Operations or logistics support in a fast-paced environment
Requirements
3+ years experience in a high-trust, high-responsibility support role
Strong calendar management and scheduling experience (or equivalent logistical responsibility)
Excellent communication and organizational skills
Valid driver's license and access to a reliable vehicle
Comfortable running errands throughout the day (mileage reimbursed)
Willingness to provide occasional weekend support, with flexibility during the week
Work Structure & Flexibility
Full-time, in-person role (generally 9-5)
Flexibility expected on both sides -- some evenings or weekends may be required, balanced with flexible scheduling

Job Type: Full-time
Pay: $25.00-$32.00 per hour
