Rollins Machinery, a lower mainland-based equipment distributor, is currently looking for a dedicated and detail-oriented Executive Sales Assistant to join our team, for a temporary position at our Chilliwack facility (covering an 18-month maternity leave). In this role, you will be responsible for supporting the Branch Manager and Agricultural Sales Team. The ideal candidate will have previous experience in an Administrative Assistant position. Understanding of inventory and sales logistics are considered an asset.
RESPONSIBILITIES
• Executive Assistant to Branch Manager and Agricultural Sales Team
• Reviewing and closing sales
• Registering sold units for warranty
• Distributing monthly programs and targets to Sales Team
• Inventory management
• Dealer Admin for OEM Portals
• Assist with onboarding employees at branch location
• Freight arrangements
• Managing Agriculture online ads/inventory
• Calendar management, travel arrangements, meeting coordination and preparation, email management, and ad hoc tasks
• Meeting minutes for executive and board meetings
• Support with preparing for presentations and tradeshows
• Communication with vendors and manufacturers
• Some basic bookkeeping (can be taught if no experience in this) and support accounting department
REQUIRED EDUCATION, SKILLS AND QUALIFICATIONS
• Post-secondary education in Administration or Business is an asset
• Proficient in Microsoft products (Outlook, Word, Excel)
• High level of organization and adaptability
• Friendly, confident, respectful demeanor
• Ability to work in a close team environment
• Excellent attention to detail and a positive attitude, with good interpersonal skills
• Advanced proficiency in English (oral & written) is necessary for this position, for effective communication with customers, the service team and other branch personnel
