We're looking for a detail-oriented, tech-savvy Executive Assistant who can wear multiple hats and grow with our expanding business. You'll handle customer service, project coordination, and communication with our guest experts, while also building the marketing tech that powers our launches (think sales pages, funnels, and automations).

What You'll Do

The role of Executive Assistant is one of the most integral in our organization. You'll work quickly and thoughtfully to help the team grow the company. Here's what a typical week might look like:

Customer Service & Member Support

Answer all customer questions that come through email (accuracy, clarity, and efficiency matter) Handle customer complaints with grace Troubleshoot basic tech issues (login problems, payment questions, access issues) Pause, cancel, and reactivate memberships as needed
Project Coordination & Expert Communication

Manage the CEO's schedule, expenses, and communications (meetings, calls, invitations, events) Collect and drive a list of key decisions CEO needs to make each day Maintain project tracker for events, podcasts, launches, and content creation Coordinate with experts and podcast guests (scheduling, follow-ups, asset collection) Attend Monday team meetings and take notes/action items for the team
Systems & Processes Organization

Create and update workflows in Notion, documenting everything clearly Track metrics and create reports Support the team in various tasks as they arise
Marketing Tech

Build and update opt-in pages, landing pages, and sales pages Create email automations and manage sequences during launches Setup/Manage funnel automations, on multiple plateforms Use Zapier to integrate our tool stack Troubleshoot automation and funnel issues Update content on our website (Kajabi, Squarespace, Showit), including events, blogs, and podcasts Communicate with the platforms' tech support when issues arise outside your scope
Required

3+ years of experience

in a support or administrative role (virtual experience preferred). This is not entry-level.

Strong written communication skills

with a focus on clarity and warmth

Ability to learn new technology quickly

Highly detail-oriented.

You can manage multiple incoming requests and ensure nothing falls through the cracks. Requests from clients, members, and guests are different every day.

Naturally organized.

Files, tasks, schedules, and information--you keep it all in order without breaking a sweat.

Self-directed.

Once established, you can anticipate what needs to be done with little direction.

Reliable home office setup

with high-speed internet

Availability for busy seasons.

We have one major event each year that requires "all hands on deck" for about three months--including some weekends and limited vacation requests during that time.

Interest in personal development or spiritual growth.

You'll be working with transformational content daily!
Preferred (But Not Required)

Experience with Kajabi, Notion, Kit (ConvertKit), Zapier, or similar platforms Background in membership communities or online business Experience with email marketing or sales funnels An eye for graphic design (Canva) Familiarity with topics like astrology, yoga, meditation, or breathwork
Work Details

Hours:

20-30 hours per week

Location:

100% Remote (US-based preferred for timezone alignment)

Communication:

We collaborate via Slack, Zoom and Loom throughout the week

Starting Pay:

$18-$24/hour USD (depending on experience)

PTO:
