About the Role:

We're looking for a dynamic, organized and creative Executive & Marketing Assistant to work directly alongside the agency owner full-time. You'll be her right hand supporting daily operations, helping manage client relationships and keeping projects running smoothly from start to finish.

Some days you will be behind the computer for the day side by side with the owner herself, other days you will work from home and others you'll be on the move attending client meetings, photoshoots, podcast recording days and events. You'll also work closely with part-time staff to make sure day to day operations continue to run seamlessly, even when the team is out on-site.

Responsibilities:

Work directly with the agency owner to manage day to day operations and priorities. Attend client meetings, events, photoshoots, filming days, conferences and more to provide on-site support. Assist with project management, tracking tasks, deadlines and deliverables across clients. Create and organize documents, reports and content plans. Coordinate between clients and internal team members to keep projects on track. Manage scheduling, calendar organization and daily to-do lists. Act as the main point of contact for part-time staff, ensuring communication and task completion. Communicate updates, instructions and priorities to the team as directed by the owner. Anticipate needs, solve problems proactively and step in wherever help is needed. Oversee day to day workflow to ensure everything stays on schedule even when off-site. Support with marketing projects and brand related tasks as needed.
Qualifications

Experience in administrative support, marketing coordination or agency operations. Excellent spelling, grammar and written communication skills. Highly organized with outstanding attention to detail. Fast, efficient and adaptable - able to shift gears easily throughout the day. Independent and reliable, with strong follow through on assigned tasks. Professional yet creative, with an understanding of social media, branding and marketing. Strong sense of initiative and ability to anticipate what's needed before being asked. Comfortable overseeing and communicating with part-time staff. Proficient in tools like Google Workspace, Canva and project management platforms. Positive, collaborative and fun to work with someone who keeps things running smoothly but brings good energy to the team. Access to a vehicle is required.
Compensation

Full-time: 40 hours per week Hourly Rate : $22 - $25 (depending on experience) Opportunity for long-term growth and advancement within the agency
