Job Description

The Executive Director is responsible for the successful leadership, overall management, and operations of the organization according to the strategic direction, and policies set by the Board of Directors at Weengushk International Film Festival.

Essential Duties and Responsibilities:

Manage internal and external event communications.

Oversee the coordination of events including conferences, seminars, dinners, and

training.

Manage vendors and suppliers.

Administer event budget and ensure it is maximized.

Source venues, obtain quotes and conduct site visits.

Liaise with exhibition builders, caterers, delegates and speakers.

Invite and liaise with speakers, exhibitors and delegates.

Maintain detailed and accurate event files such as exhibitor databases, contact and

financial information.

Liaise with conference delegates and exhibitors throughout the entire process.

Coordinate the delivery of materials to events.

Periodically provide administrative support to other members of event planning staff.

Determine parameters, policies and procedures of event plans.

Develop and implement a marketing plan.

Supervise the development and production of promotional materials and presentations.

Develop a risk management plan.

Oversee the financial and project management of events.

Produce reports on events which include obstacles and opportunities encountered.

Serve as a single-point-of-contact for key donors/sponsors.

Develop and maintain relationships within assigned donors/sponsors.

Identify and target new donation and sponsorship opportunities that close quickly for

the highest revenue.

Promote and maintain the organization's image and identity.

Provide input and assist in development of presentations and other marketing

collateral.

Create and conduct in-depth sales presentations that highlight key benefits, ROI, and

value the organization's programs/events.

Assist in the creation of product training plans for fundraising representatives.

Ensure overall donor/sponsor satisfaction.

Conduct and develop quarterly and annual account reviews in order to effectively

manage account lifecycles.

Analyze, assess, and document donor results to ensure donor/sponsor expectations are

being met.

Promote awareness of new programs and events to donors and sponsors.

Grants, Proposals and Reporting as required

Other duties shall be assigned as required

Requirements:

Skills & Qualities Desired:

Post-secondary education or relevant workplace experience ideally in one or more of the following areas: marketing, event management, communications or arts administration

Strong project management, communication, administration, organizational and planning skills.

Customer Service training and experience:

A knowledge of best marketing practices for festivals and local communities

Must have an interest in film festivals, be knowledgeable about artists, and have an overall interest in learning about the film festival industry

Knowledge of social media sites and tools, and an active participant in social networking

An understanding of Advertising and Promotional principles

Basic or advanced knowledge of graphic design is ideal

Proven ability to listen, understand and communicate effectively

Ability to take direction while also displaying strong personal initiative

A creative thinker and self-starter

Available to work evenings and weekends as required during festival lead up
