Applicants are to submit a cover letter and resume via email Purpose of the position: The Executive Coordinator supports the President & CEO, the Board of Directors, manages grant application process, Foundation Human Resource Management needs, planning support, policy design and development and where appropriate serves as back-up for several Foundation positions. Scope
The Executive Coordinator reports directly to the President & CEO. Responsibilities
The Executive Coordinator supports the President & CEO and seeks to manage the governing policies and procedures of the Foundation. The responsibilities of the Executive Coordinator include but are not limited to:

  • Supports the President & CEO and Board of Directors. Attends Board Meetings as Recording Secretary.
  • Provides Human Resource functions. This may include but not limited to performance review facilitation, funding applications, policy and procedure, recruitment and screening, and Health and Safety activities of the Foundation.
  • Facilitate the annual Operational Plan, including logistics for a planning day, extensive plan draft review and preparation of summary documents/presentations.
  • Coordinate the Family CARE Grant and regular Foundation Capital Grants receipt and evaluation.
  • Participate in Committees and Sub-Committees of the Health Sciences Foundation where directed by the President & CEO.
  • Participate in Committees of the Board of Directors as directed by the President & CEO.
  • Coordinating education and training sessions for staff.
  • Assist in the design, development and maintenance of the policies and procedures of the Foundation.
  • The Executive Coordinator must have the discretion to work in an environment with sensitive and confidential information is managed in an appropriate manner.
Knowledge, Skills & Abilities
  • Above average communicator \xe2\x80\x93 both written and oral.
  • Knowledge of confidentiality and sensitivity to a variety of populations and situations including patients and their families, donors, recognition programs.
  • Superior interpersonal skills are imperative.
  • Strong time management and organizational skills
  • Able to handle multiple projects with competing timelines.
  • Maintains a customer service focus in all interactions with Foundation constituencies including, but not limited to, donors, volunteers, board members, patients and Health Sciences Centre staff.
  • Ability to provide appropriate stewardship and cultivation to various constituencies including but not limited to donors, volunteers and community members.
  • The ability to work comfortably in Microsoft Office, including Word, Excel and Power Point
  • Familiar with corporate emails and electronic calendars
  • The ability to operate office equipment (i.e. copiers, computers, printers) is also required.
  • Technical knowledge of videoconferencing applications and multimedia equipment
  • Raiser\xe2\x80\x99s Edge is an asset.
  • A G-class driver\xe2\x80\x99s license and access to a reliable vehicle is required.
  • Flexibility in work hours and locations is essential to the success of this role.
Qualifications
The Executive Coordinator will have completed post-secondary education, preferably in one of the following areas:
  • Business Administration
  • Human Resources
  • Marketing
  • Public Relations
  • Communications
  • Fundraising
  • Social Sciences (including Psychology and Sociology)
  • Ideally have a minimum three (3) years experience in fund development, office administration or related work.
Other Information:
  • Salary range: $53,035.84 - $66,301.04
  • Work hours: 9AM \xe2\x80\x93 5PM, Monday through Friday. Some after-hours required on a monthly basis.
