Executive Coordinator & Board Liaison (contract)

Job Description


If you are a talented and experienced Executive Coordinator or Executive Assistant, Aplin has partnered with a downtown Edmonton organization with a strong presence in the Arts community to recruit an Executive Coordinator on an 8-week contract with the potential for extension.

There will be an opportunity to work in a hybrid model for this position. As the Executive Coordinator, you will play a pivotal role in providing administrative support to members of the executive team. You will be responsible for calendar & email management, coordinating and preparing for board meetings, organizing travel arrangements, and handling confidential information with the utmost professionalism.

Responsibilities:

  • Manage executives\' calendars, schedule meetings, and coordinate appointments, ensuring efficient time management and prioritization of tasks.
  • Prepare meeting materials, agendas, and take accurate minutes of meetings when required.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Conduct research, compile data, and provide support in the preparation of reports and presentations.
  • Assist with special projects and ad-hoc tasks as assigned by the executive team.
  • Liaise with internal and external stakeholders, maintaining professional and positive relationships.
  • Perform general administrative duties, such as managing correspondence, filing, and organizing documents.
Qualifications:
  • Proven experience as an executive assistant or executive coordinator.
  • Strong organizational and time management skills, with the ability to prioritize and multitask effectively.
  • Exceptional verbal and written communication skills, with attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive and confidential information with integrity and discretion.
  • Proactive, self-motivated, and able to work autonomously, with a strong sense of urgency.
  • A high degree of adaptability and flexibility to meet changing priorities and deadlines.
