Inclusion and Belonging:

This newly formed department will focus on the continued implementation of Humber\xe2\x80\x99s EDI framework and the braiding of Indigenous ways of being, knowing, and doing into curricula, teaching practices, and operational and decision-making approaches.

This new area will provide input into planning, strategy, and vision and making recommendations to align decision-making with EDI best practices. Will create space for the entire community to take initiative in building a more inclusive community, together. Job Details

Position Title: Executive Assistant to the Vice President, Inclusion and Belonging

Status: Full-Time Administration

Hours: 37.5 hours per week

What you will do:

In this exciting new role, the Executive Assistant to the Vice President, Inclusion and Belonging has a key role in providing confidential, operational, and executive level support to members of the executive team and will act in a chief of staff capacity. The Executive Assistant will use their well-developed organizational skills, sound judgement and discretion to perform high-level office management related tasks in support of the Vice President related portfolio but more importantly will provide strategic operational support and coordination for the Vice President\xe2\x80\x99s portfolio and projects. The Executive Assistant demonstrates a high degree of professionalism and balances competing priorities. In addition, the incumbent provides leadership for department functions, directs inquiries as appropriate and maintains effective communication and working relationships with internal and external stakeholders.

  • Drafts briefing notes, business cases, letters, memos and other correspondence
  • Assists in the resolution of complex, highly sensitive and confidential administrative matters
  • Drafts presentations based on information gathered from a variety of resources
  • Reviews, actions, and drafts responses to incoming correspondence for the Vice President in a timely and professional manner
  • Prioritizes meetings and appointments, and proactively resolves scheduling conflicts
  • Ensures agendas are prepared and supporting materials are tracked
  • Ensures travel arrangements and conference bookings for the Vice President and other college staff as required are completed
  • Assists with managing the workflow for the executives while meeting the schedule needs of the portfolio directors who have competing prioritie
  • Responds to phone, email and in-person enquiries \xe2\x80\x93 providing general information and referring enquiries as appropriate based on a broad knowledge of the College\xe2\x80\x99s protocols, procedures, priorities, and personnel
  • Gathers data, prepares reports and analyzes the information in a format that can be easily understood
  • Maintains Office of the Vice President files in accordance with sound principles of record management
  • Conducts research and gathers all necessary information from a variety of internal and external sources for the Vice President prior to meetings and events
  • Tracks, anticipates, and prepares for upcoming deadlines, events, and agenda items that require action by the Vice President
  • Serves as liaison and point of contact for the Office of the Vice President, including providing support for the departments that report to the Vice President
  • Leads or serves as an active member on various committees and meetings
  • Collaborates with other members within the Vice President portfolio and/or executive office colleagues on projects and initiatives
  • Manages portfolio budget and program expenses
  • Manages related Vice President projects and deliverables across the portfolio
  • Supports the Vice President in maintaining relationships with key stakeholders to ensure progression in communications and to surface and pursue opportunities for collaboration
  • Recognizes operational weaknesses and helps sharpen processes and/or develops new ones
  • Collaborates with other members of the Senior Administration Office to provide seamless support for the Executive Team
  • The successful candidate is able to demonstrate their ability to be a strategic thinker which enables them to provide strategy support to the Vice President
Qualifications

What you bring to the role:
  • 5 or more years\xe2\x80\x99 experience supporting a senior level leader/executive required
  • Post-secondary diploma/degree in a related discipline required or equivalent experience at an executive level
  • Advanced skills in business writing and oral communication
  • Proficient with office productivity software including Microsoft Windows, Outlook, Excel, Word, Access, PowerPoint, MS Project; meeting room technology; skilled electronic filing and content management
  • Ability to organize and prepare professional documents ranging from general correspondence to extensive reports.
  • Experience in a project driven technology setting
  • High attention to accuracy and detail
  • Superior time management and project management skills with the ability to prioritize tasks to meet tight timelines
  • Self-directed individual who possesses initiative, sound judgement and well-developed critical thinking and decision-making abilities
  • A customer service focused professional with a pleasant attitude combined with a positive work performance and attendance record
  • Excellent communication and interpersonal skills combined with the ability to work effectively as a member of a team and with a wide range of other professional staff
  • Experience living and/or working with underrepresented groups and be well-versed in protocols necessary for relationship building with Indigenous peoples and Equity, Diversity and Inclusion values.
