Executive Assistant help an organization through admin-related projects, calendar management, supporting staff events, and assisting senior staff in various tasks. To ensure success as an Executive Assistant you should be committed to providing attentive support for internal and external parties and be skilled at various office tasks. Top-notch Executive Assistants are courteous, proactive, and well-organized professionals who bring creative solutions to administrative problems. The primary function of the executive assistant is to provide support to Sr. Management and their respective teams This role will be a one-year contract with possibility of extension.Day-to-day responsibilities include the following:

Scheduling

  • Manage daily email and calendar activity and coordinate meetings for Executive
  • Inform Executive of any adjustments to their calendars
  • Manage Executive time efficiently
Client Communication
  • Follow up with clients on administrative matters such as meeting coordination and distribution of correspondence on behalf of Executive Agency Communication
  • Manage confidential information and communications including internal financials, client communications and employee information discretely and confidentially
  • Manage All Staff communications and agency wide communication
General Administrative Tasks
  • Assist Executive and their respective teams with various administrative tasks
  • Process expense reports on a monthly basis (or as directed)
  • Process timesheets on a weekly basis
  • Ensure hours have been recorded under appropriate client codes and job numbers where applicable
Qualifications
  • 2 year of experience within admin, office or facilitator
  • Ability to work in office and remotely as required
  • Solid verbal and written communication skills
  • Technical proficiency, particularly with Excel, Word and PowerPoint
  • Demonstrated critical thinking and problem solving abilities
  • Able to work successfully with teams, handling multiple projects and meeting tight deadlines under pressure at times
  • Resourceful, creative, self starter
  • Friendly, building relationships, customer service focused
  • Follow up proactively with prioritization of tasks
  • Adaptability to new environments
  • Time Management skills
