About Zaag'idiwin Child and Family Services:



Zaag'idiwin Child and Family Services is a newly established organization dedicated to promoting the wellbeing of Saugeen First Nation children and families and build capacity to operationalize Saugeen's child wellbeing law, Zaag'idiwin. Saugeen children and families are at the core of who we are - they are our most valuable resources. We believe it is our collective responsibility as Saugeen to care for one another.

Position Summary:



The Executive Assistant to the Director of Band Representatives will provide high-level administrative and organizational support to ensure the smooth functioning of the Director's office. This position requires professionalism, discretion, cultural awareness, and a strong commitment to serving Indigenous children and families. The Executive Assistant will be responsible for managing schedules, preparing documentation, coordinating meetings, and facilitating communication between internal and external stakeholders.

Key Responsibilities:



Program Management & Administration



Process and analyze incoming/outgoing communications, maintain a centralized filing system, and compile reports, briefing notes, and submissions for management review. Develop and maintain efficient information management systems and ensure client case files are up-to-date and securely archived.

Human Resource Support



Supervise and delegate tasks to administrative support staff; assist in staffing and resolving performance or conflict issues. Support the supervision of staff under the Executive Director's leadership.

Collaborative Practice & Community Development



Coordinate case management conferences with multidisciplinary teams to monitor and evaluate child, youth, and family care. Liaise with child welfare agencies, community organizations, and external partners to integrate services and promote community awareness.

Administrative & Quality Management



Develop tools to facilitate evidence-based reporting, complete administrative reports in line with policies and funding mandates, and draft briefing notes and discussion papers. Participate in staff meetings and training initiatives to ensure continuous improvement and compliance with regulatory standards.

Risk Management



Assist in developing and updating a risk management plan; ensure the protection and confidentiality of sensitive records and promote Saugeen's interests with external agencies.
Other related duties as assigned to support the operational success and digital transformation of Zaag'idiwin Child and Family Services.

Qualifications:



Education & Experience



Post-secondary diploma in Executive Administration, Office Administration, or related

field.

Minimum of three years of relevant experience, preferably in a social services

environment, preferably in community-based settings with First Nations, Inuit, and Metis

(FNIM) communities.

Knowledge & Skills



Understanding of Indigenous knowledge, particularly Anishinaabe practices and cultural

contexts.

Familiarity with local, regional, and provincial Indigenous and non-Indigenous services,

and child welfare legislation and standards.

Strong research, analytical, and evaluation skills; exceptional written and verbal

communication skills.

Proficient in MS Office Suite, Outlook, and client management systems; experience in

financial monitoring and budget management is a plus.

Highly professional, organized, and detail-oriented with strong interpersonal and

leadership skills.

Ability to maintain confidentiality and work effectively in a multidisciplinary team.

Resourceful, proactive, and empathetic with a respectful and approachable demeanor.

CPR and First Aid Certification (to be provided annually).

Valid Class 'G' Ontario Driver's Licence with access to a reliable vehicle; candidates must

pass a Criminal Record Check and Vulnerable Sector Check.
