Barrantes & Associates Inc. is seeking a proactive and highly organized Executive Assistant to support our Chief Operating Officer. This vital position plays a key role in ensuring operational efficiency, enhancing administrative functions, and contributing meaningfully to our mission--empowering individuals in our group homes and across the community.
Key Responsibilities
Administrative & Scheduling Support
Manage calendars, coordinate meetings, prepare agendas, and record accurate meeting minutes.
Ensure efficient communication and time management for the COO.
Research & Marketing Insight
Conduct research on new service areas and emerging trends.
Analyze market opportunities and competitor data to support strategic planning.
Process Improvement
Evaluate existing workflows and assist in developing more efficient systems and processes.
Reporting & Documentation
Prepare polished reports, presentations, and other essential documents for internal and external use.
Budget & Expense Tracking
Monitor and report on expenses across office, residential, and community programs.
Assist in budget tracking and prepare mileage summaries for payroll processing.
Communications & Content Creation
Develop and schedule engaging content for social media.
Support website updates and various communication initiatives.
Event Coordination
Support the planning and execution of meetings, staff events, conferences, and team-building activities through the Social Committee.
Confidentiality & Integrity
Handle sensitive information regarding the organization, clients, and staff with strict confidentiality and professionalism.
General Support
Take on other tasks and projects as needed to assist the leadership team and overall operations.
Qualifications
Proven experience in an administrative or executive assistant role.
Exceptional organizational skills and meticulous attention to detail.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite, particularly Outlook and Excel.
Experience with Canva, Monday.com, and Google Workspace is a plus.
Familiarity with QuickBooks is beneficial but not required.
Comfortable managing multiple tasks and priorities in a dynamic environment.
Demonstrated ability to handle confidential information with care and discretion.
