Zaag'idiwin is a newly established organization dedicated to promoting the wellbeing of Saugeen First Nation children and families and building capacity to operationalize Saugeen's child wellbeing law, Zaag'idiwin. Position Summary:



The Executive Assistant (EA) to the Chief Financial Officer (CFO) provides high-level administrative and organizational support to ensure the effective functioning of the Finance Department. The EA will manage scheduling, correspondence, reports, document control, and communication between the CFO, internal departments, and external partners. This position requires a high level of professionalism, confidentiality, accuracy, and attention to detail.

Key Responsibilities:



Provide direct administrative and clerical support to the CFO and Finance team.

Manage calendars, schedule meetings, prepare agendas, and record meeting minutes.

Assist in the preparation of financial reports, budget documents, and correspondence.

Maintain organized digital and physical filing systems for finance and administrative records.

Track and coordinate submission of departmental reports, invoices, and approvals.

Support procurement, invoice processing, and document routing in accordance with policy.

Draft, proofread, and format documents, reports, and presentations for internal and external use.

Coordinate travel, expense claims, and reimbursements for the CFO and finance staff.

Act as a professional liaison between the CFO, management team, and external stakeholders.

Ensure confidentiality and compliance with organizational policies and financial protocols.

Other related duties as assigned to support the operational success of Zaag'idiwin Child and Family Services.

Qualifications:



Diploma or degree in Business Administration, Finance, or a related field.

Minimum of 3 years' experience providing executive-level administrative support.

Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and file management systems.

Exceptional written, verbal, and interpersonal communication skills.

Demonstrated ability to manage multiple priorities and deadlines with accuracy.

Knowledge of financial and procurement processes considered an asset.

Experience working in or with Indigenous organizations or communities is an asset.

Ability to maintain strict confidentiality and handle sensitive information with discretion.
