The Canadian Society of Plastic Surgeons is a non-profit organization representing Plastic Surgeons in Canada since 1947. The Society is focused on sharing knowledge and expertise, improving quality of care, and advancing the practice of plastic surgery in Canada. Our goal is to improve the quality of patient care through education, outreach and advocacy.

Summary of purpose

We are seeking a Part-Time Executive Assistant (three days/week) with strong organizational and communications skills to provide Executive administration support to the CSPS board of directors, the Executive Director and CSPS members. The incumbent will work closely with the Executive Director to support the CSPS board of directors and CSPS members. She/he will assist in the daily operating requirements of the Society including the planning and coordination of all events for the members of the CSPS. Travel is required once per year.

Responsibilities:

Administrative support to the Executive Director, the Board of Directors and members of the CSPS including prepare and/or translate memos, presentations, correspondence and reports:

  • Coordinate purchases of office materials;
  • update and maintenance of the CSPS database;
  • coordinate records management including compliance, policies, corporate contracts and government reporting files.
Marketing and communication support:
  • develop and communicate internal notices and memos as required (announcements, schedules, calendar events, scientific awards, etc.);
  • develop and manage CSPS website contents as required (Newsletter, job posting, etc.);
  • participate in the development of a strategy to increase the CSPS visibility on the different social networks
Events support:
  • coordinate corporate events and meetings (liaise with suppliers, logistics, bookings);
  • assist in budget management
  • attend and supervise temporary event staff
Education and Experience:
  • Post-secondary Diploma
  • 5 to 7 years experience in an Assistant role
  • Proven track record of successful management of multiple projects and task
  • Exceptional organization and time management skills
  • Strong knowledge of MS Office suite; experience in Access essential
  • Excellent written and oral communication skills in both French and English
  • Technology savvy
  • Experience and discretion in handling confidential and highly sensitive information
  • Experience in the procurement of various goods and services
  • Experience in event planning and coordinating special events
