Executive Assistant – Part Time – 6 Month Contract

Job Description

The Children's Treatment Centre of Chatham-Kent is recruiting an Executive Assistant.

This is a part-time (28 hours/week) contract position with an anticipated end date of March 31, 2026. The successful candidate will join our Administrative Team, providing direct support to the Chief Executive Officer (CEO) and ensuring smooth coordination of organizational priorities. This role requires professionalism, discretion, and excellent organizational skills, as well as the ability to support a strong working relationship between the CEO and the Board of Directors.

Position Summary



Under the supervision of the Chief Executive Officer, the Executive Assistant provides high-level administrative support, manages sensitive information with discretion, and ensures timely completion of executive priorities. A key part of this role involves supporting the CEO's work with the Board of Directors, including preparation of agendas, materials, and communications, and acting as a point of coordination between the Board, the CEO, the Ministry, and the organization.

The role also liaises and coordinates with Ministry offices, ensuring timely and professional communication on behalf of the CEO. A key strength of this position is the ability to gather, organize, understand, and analyze information at the system level in order to draft briefing notes and reports for CEO review.

General Responsibilities



Provide executive support to the CEO, including scheduling, correspondence, and preparation of agendas, minutes, presentations, and reports. Support the CEO in maintaining effective communication and coordination with the Board of Directors, including preparation and distribution of Board packages, follow-up on action items, and logistics for Board and committee meetings. Liaise with staff, volunteers, Ministry offices, government officials, and community stakeholders on behalf of the CEO. Research, analyze, and prepare briefing notes, reports, and materials on projects and initiatives. Plan, coordinate, and support meetings, events, and special functions. Manage multiple priorities and follow through on issues in a timely manner. Ensure confidentiality and professionalism in all communications and documentation. Other duties as assigned.

Assets



Post-secondary education with minimum three years of related administrative experience. Experience supporting senior leadership and/or Boards of Directors is a strong asset. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and virtual conferencing tools (e.g., Zoom, Teams); strong general technical aptitude with ability to learn and use new software systems effectively. Excellent organizational, communication, and interpersonal skills. Demonstrated ability to multi-task and meet deadlines with minimal supervision. High degree of integrity, professionalism, and attention to detail. Strong analytical and information management skills, with the ability to prepare drafts of high-quality briefing notes and reports. Flexibility to adjust hours occasionally to meet deadlines.
