Job Summary

The Executive Assistant, Network Operations is responsible for providing functional project management, financial, auditing, and administrative support to the Vice-President, Engineering and the Senior Vice-President, Network Operations. The incumbent works closely with the senior leadership teams under each executive\'s area of responsibility, associated financial partners, and internal auditors to ensure the various teams remain on budget and that the internal groups are adhering to corporate policies.

Main Responsibilities

Support and Administrative Management

\xc2\xb7 Handle executive business travel arrangements both domestic and international

\xc2\xb7 Anticipate changes and individual needs associated with pending meetings, and travel requirements

\xc2\xb7 Handle a highly changing daily schedule, coordinate agendas as well as all arrangements for meetings ensuring preparation and availability for review

\xc2\xb7 Assess and prioritize all issues for the executive offices

\xc2\xb7 Monitor and handle all mandatory training, including rollout, and drive completion across functions and subgroups

\xc2\xb7 Provide weekly updates to all functional leaders, working closely with training groups to identify, address, and lead the correction of any inaccuracies with the data provided

Business Management

\xc2\xb7 Handle key corporate initiatives to ensure plans and visions have the resources assigned

\xc2\xb7 Handle and support identified projects within established timelines to completion, with oversight by functional leaders

\xc2\xb7 Review and pre-validate signing authorities on behalf of the executives

Communication and Events

\xc2\xb7 Handle all events including business car train and investor trips

\xc2\xb7 Handle all logistics for events (e.g., catering, travel, other needs of the participants and overall event plan)

\xc2\xb7 Lead and plan recognition and engagement initiatives

\xc2\xb7 Handle all office supplies, including proactive replenishment of executive suite resources on a biweekly basis

Working Conditions

The role has standard working conditions in an office environment with a regular workweek from Monday to Friday. Due to the nature of the role, the incumbent must be able to meet tight deadlines, handle pressure, and stress.

Requirements

Experience

Administration

\xc2\xb7 Minimum 3 years of experience working within a professional-level office managing daily operations at a senior management or executive support-level

o Experience working as a Subject Matter Expert (SME) on company policies

Education/Certification/Designation

\xc2\xb7 Bachelor\'s Degree in Business Management or equivalent*

*Any designation for these above would be considered as an asset
