Purpose:

Supporting the Group Head & Chief Human Resources Officer (CHRO), the Executive Assistant contributes to the overall success of the HR, Marketing & Real Estate team by supporting the needs and requirements of the Group Head & CHRO. Ensuring specific individual goals, plans, and initiatives are executed and delivered in support of the Group Head & CHRO's strategies and objectives, the EA will also ensure that all activities are conducted in compliance with governing regulations, internal policies and procedures.

In support of the Group Head & CHRO, the EA will be responsible for:

  • Working closely with the Group Head & CHRO on daily needs, and operational requirements
  • Providing administrative support for the Group Head & CHRO, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the organization's operations, procedures, and people
  • Performing tasks that require strong judgement and discretion, including:
  • Receiving calls, emails and mail directed to the Group Head & CHRO, referring and redirecting as required
  • Calendar management, coordinating meetings with internal and external partners/stakeholders, and associated logistics with large & small meetings
  • Travel coordination, including hotel and car reservations and the preparation of itineraries, internationally and within Canada
  • Expense management
  • Reviewing documentation
  • Partnering closely with the Group Head & CHRO's Director, Executive Support as well as EAs supporting senior HR, Marketing & Real Estate leadership
  • Other duties as required
Experience / Education:
  • Minimum 5 years of past experience supporting C-suite executives a requirement
  • Post-Secondary Diploma in Business Administration or related field an asset
  • Strong communication and professionalism
  • High level of discretion required when dealing with confidential matters
  • Strong understanding of large, complex organizations an asset
