Responsibilities & Duties:
Manage and maintain executive calendars using Microsoft Outlook Calendar, scheduling appointments, meetings, and travel arrangements.
Prepare, proofread, and edit correspondence, reports, and presentations with precision.
Handle incoming calls using multi-line phone systems with professional phone etiquette, direct inquiries appropriately.
Perform data entry and maintain accurate filing systems both digitally and physically.
Coordinate with clients and vendors via DocuSign for electronic document signing processes.
Support front desk operations, including assisting in managing office supplies.
Organize meetings, prepare agendas, take minutes, and follow up on action items.
Provide exceptional customer service to internal teams and external stakeholders.
Other duties as required.
Qualifications:
High school diploma or related Administrative experience.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent typing speed with high accuracy; capable of handling data entry efficiently.
Demonstrated office experience including clerical and administrative responsibilities.
Exceptional phone etiquette skills for managing multi-line phone systems professionally.
Attention to detail in proofreading documents to ensure accuracy and clarity.
Familiarity with office equipment such as filing systems, fax machines, and printers.
Team player with good communication skills.
