Position Description



The Executive Assistant & Communications Lead plays a vital dual role within the Youth and Family Wellness Camp, providing high-level administrative support to the Camp Executive Director and Camp Director, while leading all internal and external communications efforts. This position ensures efficient operations and high-quality communications that reflect the camp's values of wellness, culture, and community. The role supports strategic initiatives, program visibility, and seamless coordination across camp teams, Elders, youth, families, and communities.

Duties and Responsibilities

:



Executive Support



? Manage schedules, calendars, and meeting logistics for the Camp Executive Director and Camp Director

? Prepare meeting agendas, minutes, and briefing notes; coordinate follow-up actions

? Support coordination of leadership and advisory team meetings, Board visits, and funder engagements

? Draft, proofread, and format correspondence, reports, and internal memos

? Manage confidential files, records, and documents with discretion and professionalism

? Assist with budget tracking, inputting expenses, and reconciling reports

? Track deadlines and support progress on strategic initiatives, , ensuring timely reporting

? Provide administrative support for grant applications, sponsorship proposals, and donor recognition activities

Communications Lead



? Develop and implement a camp-wide communications plan in alignment with communications standards

? Lead creation and coordination of print and digital content, including newsletters, social media, program flyers, website updates, and event promotions

? Capture and share stories, photos, and videos that highlight the impact of camp programming

? Manage communications for special events, fundraisers, and government or media announcements

? Serve as a point of contact for community engagement, ensuring respectful and culturally appropriate communications with Elders, youth, and families

? Work with Elders and cultural advisors to ensure communications, events, and visits follow proper cultural protocols

Administrative Coordination



? Provide logistical and administrative support for camp-wide meetings, seasonal programs, and visiting guests or partners.

? Maintain communications tools such as the website/social media calendar, media database, and consent/photo release records.

? Order and track promotional materials, signage, and supplies for events and programming.

? Maintain and update a database of partners, sponsors, and key contacts to support relationship building and outreach.

? Create and manage internal staff updates (e.g., weekly digest, bulletin board, team communications) to improve cross-team awareness.

? Track and report on communications activities, engagement metrics, and partnership interactions.

? Input program participation data, attendance logs, and evaluation results into internal tracking systems.

? Maintain accurate records for grant reporting, program evaluation, and performance measurement.

? Support administrative preparations for large-scale events, youth leadership programs, cultural gatherings, and training workshops.

Qualifications:



? Excellent writing, editing, and digital storytelling skills

? Strong organizational, multitasking, and time management skills

? Proficiency in Microsoft Office, social media platforms, and design software (e.g., Canva, Adobe Creative Suite, or similar)

? High degree of professionalism, discretion, and cultural sensitivity

Education/Experience:



? Post-secondary education in Communications, Office Administration, Indigenous Studies, or a related field, or an equivalent combination of education and experience.

? Minimum 3 years of experience in an administrative or communications role.

? Experience working with First Nations organizations, with knowledge of First Nations cultural and wellness practices

? Ability to speak Anishinaabemowin is an asset

Additional Requirements:



? Valid driver's license and access to a reliable vehicle

? Willingness to travel and work occasional evenings or weekends

? Clear Vulnerable Sector Criminal Records Check
