Muskoka Algonquin Healthcare is seeking a highly organized and proactive Executive Assistant to the Chief of Staff to provide critical administrative and operational support. This role plays a key part in facilitating communication between medical leadership, credentialed staff, and hospital administration while ensuring efficient management of physician credentialing, committee coordination, and strategic initiatives.
KEY RESPONSIBILITIES
Provide high-level administrative support to the Chief of Staff, including calendar management, correspondence, and meeting coordination
Support physician credentialing, privileging, and compliance with regulatory requirements, including the Public Hospitals Act and Credentialed Staff Bylaws
Coordinate and support meetings for the Medical Advisory Committee (MAC), clinical committees, and other medical leadership groups, including agenda preparation and documentation
Liaise between credentialed staff, hospital leadership, and external stakeholders to ensure efficient communication and issue resolution
Support physician recruitment, retention, and onboarding, including facilitating incentive grants and coordinating hospital tours
Support the Physician Leadership Development Program and other initiatives to integrate medical leadership into the hospital's strategic priorities
Handle patient and staff concerns related to credentialed staff, ensuring proper documentation and compliance with complaint resolution protocols
Assist various medical affairs programs, including physician recruitment and leadership development
Maintain physician databases, track credentialing deadlines, and oversee compliance with hospital policies and regulatory standards
Prepare reports, briefing materials, and correspondence for senior leadership, the Board of Directors, and external stakeholders
Other duties as assigned
QUALIFICATIONS
Post-secondary education (degree or diploma) in a related field or equivalent experience required
Minimum three (3) years related experience in a not-for-profit or healthcare-related sector
Experience having worked with medical staff and multi-disciplinary teams
Advanced computer skills and experience with Microsoft Office Word, Excel, PowerPoint, Teams and Zoom
Experience with project management support & event coordination

Location:
Multi-Site, working on site at both the South Muskoka Memorial Hospital (SMMH) located in Bracebridge and Huntsville District Memorial Hospital (HDMH) located in Huntsville. Applicants must reside within 125km of one of our hospital campuses or be willing to relocate prior to starting. *Exceptions will be considered on a case-by-case basis
Hours of Work:
Monday - Friday 8:00 am - 4:00 pm. Shifts and hours may change according to departmental requirements per the organizational needs.
